JOB SUMMARY
The purpose of the Marketing Operation Coordinator position is to oversee the Southlands Christian Schools' digital marketing systems, website management, and social media platforms. This position focuses on lead nurturing, and AI integration, as well as communication, organization, and execution rather than graphic design or content production. Personnel operating in this position will work in a fast-paced, flexible, innovative educational environment. The Marketing Operation Coordinator will be comfortable with CMS platforms, social media management tools, CRM systems, AI applications, and marketing automation; as well as enjoy improving efficiency, supporting enrollment efforts, and providing a positive experience for prospective families throughout the enrollment journey.
DUTIES & RESPONSIBILITIES
1. Completes duties and responsibilities in compliance with Southlands standards, policies and guidelines. 2. Maintain and update the Southlands website using the Content Management System (CMS). 3. Ensure information, calendars, announcements, and webpages are current and accurate. 4. Create and manage landing pages for admissions, events, and programs. 5. Monitor website performance and recommend improvements. 6. Ensure a user-friendly experience for prospective families. 7. Schedule and publish approved content across social media platforms. 8. Maintain a consistent posting calendar. 9. Monitor engagement, comments, and messages. 10. Coordinate with staff members to gather stories and information for posting. 11. Support the promotion of Southlands programs, events, and achievements. 12. Coordinate newsletters, email campaigns, and school announcements. 13. Support admissions and enrollment communications. 14. Assist departments with promoting events and programs. 15. Maintain communication calendars and ensure timely messaging. 16. Help ensure consistent branding and messaging across all channels. 17. Monitor and manage inquiries generated through the website, social media, events, and advertising campaigns. 18. Ensure prospective families receive timely and professional follow-up communications. 19. Utilize CRM systems and automation tools to nurture prospective families throughout the enrollment journey. 20. Develop and maintain email sequences and communication workflows to guide families from inquiry to application and enrollment. 21. Track lead sources and conversion rates and provide regular reports to leadership. 22. Coordinate with admissions staff to ensure smooth handoff and consistent communication. 23. Maintain accurate records and notes within the CRM system. 24. Identify opportunities to improve the prospective family experience and increase enrollment conversion. 25. Utilize AI tools to improve productivity and communication. 26. Implement automation systems for email marketing, social media scheduling, and reporting. 27. Research and recommend new AI tools and technologies. 28. Streamline marketing workflows and improve operational efficiency. 29. Support the development and implementation of CRM and enrollment systems. 30. Monitor website traffic and digital engagement. 31. Track marketing KPIs and campaign performance. 32. Prepare monthly reports for leadership. 33. Identify trends and opportunities for improvement. 34. Evaluate the effectiveness of marketing campaigns and enrollment efforts. 35. Work collaboratively with admissions, principals, athletics, and other departments. 36. Coordinate marketing timelines and promotional schedules. 37. Ensure projects are completed on time and aligned with Southlands priorities. 38. Support Southlands events and enrollment initiatives as needed. 39. All other duties as assigned. This position is classified as non-exempt. The preceding functions have been provided examples of the types of work performed by employees assigned to this job classification. QUALIFICATIONS
1. Bachelor's degree or equivalent experience in Marketing, Communications, Business, or related field. 2. Strong experience with website CMS platforms. 3. Familiarity with social media platforms and scheduling tools. 4. Experience with CRM systems and lead management. 5. Comfortable using AI tools such as ChatGPT, Gemini, Canva AI, or similar technologies. 6. Strong organizational and project management skills. 7. Excellent written and verbal communication skills. 8. Ability to manage multiple projects and deadlines. 9. Experience of working effectively in a team environment with a customer service focus. 10. Technological Proficiency to be able to work in Google Suite, Microsoft Office 360, Customer Relationship Management (CRM), Call Center System, Application and Enrollment platform. 11. TB Clearance within last four years. 12. Criminal Justice Fingerprint clearance. 13. CA Mandated Reporter Training certificate. 14. Immigration Reform and Control Act of 1986: An Eligibility Verification Form (I-9) will be required along with the supporting documents listed on the I-9 form.

Ability to perform and excel in a high-tech digital fast-paced environment. 11. Ability to handle sensitive and extensive confidential data. 12. Detail oriented; problem solving skills 13. Proficient in the use of e-mail, word processing, spreadsheet, database, and presentation, customer relations and enrollment software and use of the Internet to access data, maintain records, generate reports, and communicate with others. 14. Ability to create and maintain relationships and demonstrate an ability to work effectively with administrators, faculty, and staff.
