Job Description
Job Overview The Marketing Coordinator supports the execution of Baker Design Build's marketing and business development initiatives and provides day-to-day support to the Director of Marketing & Business Development and Senior Proposal Writer. This role assists with marketing content and collateral, digital and social media marketing, events, CRM administration, solicitation research and proposal production and coordination. This is a hands-on, individual contributor role that requires strong organizational skills, attention to detail, initiative, and the ability to manage multiple priorities and deadlines in a fast-paced, collaborative environment. Primary Responsibilities Marketing & Communications Support Assist with developing and maintaining marketing content and collateral, including project sheets, team resumes, firm profiles, capability statements, presentations, and other branded materials. Support social media activities by gathering content and photos, coordinating project and employee information, and sharing materials with the social media consultant. Support company website updates by gathering content and photos, project information, company awards, employee information, career opportunities, and other relevant content. Assist with coordinating project photography, awards, project milestones, and other opportunities for company promotion. Maintain and organize the company's library of project photography, marketing materials, and other marketing assets. Conduct market research by reviewing news, advertising, press releases, industry publications, and community sources to identify upcoming project opportunities and relevant industry trends for leadership review. Proposal & Pursuit Support Support the Senior Proposal Writer with RFQ/RFP and other pursuit activities by gathering project information, resumes, forms, licenses, certifications, references, teaming information and required documentation. Assist with proposal production and coordination, including formatting, proofreading, quality control, printing, assembly, and electronic submission. Conduct solicitation research to identify RFQs, RFPs, prequalification opportunities, and other potential pursuits for review. Coordinate with internal team members to obtain requested proposal information and assist with tracking outstanding items and deadlines. Assist with maintaining current project sheets, resumes, boilerplate information, proposal resources, and organized pursuit files and folders. CRM & Business Development Support Manage the CRM database, including data entry, updates, maintenance, and reporting as needed. Assist with maintaining Business Development goals, Rocks, tasks, measurables, and scorecard information in Ninety.io to support accountability and track progress. Assist with preparing marketing materials and company information for business development and client meetings as needed. Work collaboratively with Marketing, Business Development, and operational teams to support company goals and business development initiatives. Events & Marketing Coordination Assist with planning and coordinating events, conference registrations, sponsorships, networking activities, and other marketing and business development activities as needed. Maintain organized marketing files, folders, calendars, templates, and departmental resources. Coordinate with internal departments and external vendors to support marketing and business development projects and deadlines. Provide additional marketing, business development, and proposal support as department priorities and workload require. Qualifications Bachelor's degree in marketing, communications preferred or comparable professional experience. Minimum three (3) years of experience in marketing, communications, business development support, or a related role. Experience within the AEC industry is a plus. Advanced proficiency with Microsoft Office Suite, particularly Word, Excel, and PowerPoint; familiarity with Adobe Suite and Canva preferred. Experience with managing a CRM database. Strong attention to detail, organizational, time-management, and critical thinking skills, with the ability to manage multiple deadlines and shifting priorities. Strong written and verbal communication skills. Self-motivated and proactive with the ability to work independently, take ownership of assigned responsibilities, and collaborate effectively across departments. Strong interpersonal and problem-solving skills with a professional and positive attitude.
