This position is ideal for someone who enjoys staying organized, working behind the scenes to keep everything running smoothly, and taking ownership when things need to get done. We are looking for someone who doesn't just wait to be told what to do, but learns the business, recognizes what needs attention, and takes action. What You'll Be Responsible For Prepare, organize, and mail our client and real estate marketing mailouts Maintain and track all active, pending, and future transactions Keep client information accurate and up to date across our CRM and other systems Enter, organize, and maintain important customer and transaction information Handwrite personalized notes and correspondence to clients, past clients, and contacts Maintain and organize office documents, forms, and transaction paperwork Help prepare and coordinate client closing gifts and other client appreciation items Assist with planning and executing approximately two client events per year Help keep marketing materials, client information, and office systems organized Monitor upcoming deadlines, appointments, follow-ups, and tasks Learn our systems, processes, and the way our business operates Identify when something is falling behind and take initiative to get it back on track Help create a smooth, organized experience for both our clients and our real estate team Take on additional responsibilities as you become comfortable with the role and learn the business The Person We're Looking For We are looking for someone who is: Extremely organized and detail-oriented Reliable and dependable Comfortable managing multiple tasks and deadlines A strong communicator Comfortable working independently Tech-savvy and willing to learn new systems Professional and friendly with clients Someone who takes pride in their work A problem-solver who looks for solutions instead of waiting for instructions Someone who can recognize when something needs to be done and just gets it done Interested in learning the real estate business and growing with our team What Success Looks Like The right person will eventually become someone we can trust to keep the administrative and client-care side of the business moving forward without having to constantly check in. We want someone who starts by learning the job, our systems, and our expectations—and then grows into someone who can look at the day, see what needs to happen, and take ownership. Qualifications Proven experience as an administrative assistant or personal assistant with strong clerical skills and office management experience. Demonstrated proficiency in Canva, Google Sheets, other spreadsheets, data entry, and general computer literacy. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently in a busy setting. Strong communication skills to keep the team updated and the clear message to our clients. Previous experience supporting executive-level staff or in office support roles is advantageous.
