Job Description

POSITION SUMMARY
This position is responsible for a diverse range of administrative and clerical duties as assigned by the City Clerk, focusing primarily on researching grant opportunities for the various departments of the City, assisting with administering in-house grant applications, maintaining the City's social media presence, and providing support and assistance for other projects as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Research grant opportunities for the various departments of the City. Assist with administering any in-house grant applications. Maintain a strategic social media plan and assist in the new development of the plan with the approval of the City Clerk. Assist the City Clerk with other marketing needs of the City. Research, collect data, and compile reports on various City Projects as needed. Compose, draft, edit, and complete correspondence, reports, memoranda, and other clerical work as needed. Respond to public inquiries via phone, email, and in-person, providing accurate information regarding municipal services and policies. Be able to handle disgruntled citizens and maintain a professional composure diligently. Accurately type and enter data to assist in preparing and maintaining official records, reports, and other documentation. Maintain and update filing systems, both paper and electronic records. Ensure confidentiality and security of municipal documents and records. Follow departmental and city policies and procedures. Participate in proactive team efforts to achieve departmental and City government goals. Provide leadership to others through example and sharing of knowledge/skill. Perform other duties as assigned.
EDUCATION
Bachelor's degree (B.A. or B.S.) from an accredited four-year college or university in any field; or three to five years of related experience and/or training; or equivalent combination of both. Program of Study in Business Administration or General Marketing is preferred.
EXPERIENCE
A minimum of two years of administrative or clerical experience working in an office environment using computer software. Proficiency in Microsoft Office Suite (Word, Excel. Outlook.) Excellent written and oral communication skills. Proper grammar and use of English. Knowledge of office procedures, record-keeping, and bookkeeping. Knowledge of organizational structure, general city operations, and functions of city government is preferred. Project management skills and deadline management. Knowledge of basic marketing principles and best practices on major social media platforms.
TECHNICAL SKILLS
Create and schedule engaging content for social media platforms daily. You must have an eye for design and the ability to create visually appealing content. Detail-oriented and organized to assist with grant research and administration. Ability to prioritize while working on multiple tasks and/or projects. Ability to type no less than fifty (50) words per minute on keyboard with minimal error. Ability to work in a confined area and remain seated for long periods of time. Ability to work without supervision and to make appropriate decisions. Ability to perform multiple tasks simultaneously with frequent interruptions. Highly detail-oriented and organized in a work environment. Ability to work with a diverse population. Ability to maintain accurate and complete records and prepare clear and detailed reports using computer technology. Proficiency with utilizing computer software, such as Microsoft Word, Excel, Outlook, etc. Proficiency in operating standard office equipment, such as computers, phones, photocopiers, filing systems, and fax machines. PHYSICAL AND ENVIRONMENTAL DEMANDS
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
TRAVEL:
This position requires up to 5% travel time.
