Job description Job Summary We are seeking a dynamic and highly organized Executive Operations & Marketing Coordinator to join our team. Responsibilities Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and handling correspondence with professionalism and discretion Coordinate and assist with planning and executing events, meetings, and promotional activities to enhance brand visibility and engagement Manage office operations efficiently by overseeing filing systems, data entry, bookkeeping using QuickBooks, and maintaining office supplies and equipment Support marketing efforts through content proofreading, transcription, and preparing marketing materials using Microsoft Office and Google Workspace tools Handle front desk duties such as greeting visitors, managing multi-line phone systems, practicing excellent phone etiquette, and directing calls appropriately Maintain accurate records through diligent filing, data entry, invoicing via DocuSign, and tracking project progress to ensure deadlines are met Assist with customer service inquiries, ensuring positive interactions that reflect the organization's professionalism and commitment to excellence Qualifications Proven experience in office management, administrative support or personal assistant roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar Experience with bookkeeping software such as QuickBooks and electronic signature platforms like DocuSign Excellent typing speed along with transcription and proofreading skills for creating accurate documents Strong communication skills with professional phone etiquette across multi-line phone systems Ability to multitask effectively in a fast-paced environment while maintaining attention to detail Prior experience in event planning, project coordination or office experience is highly desirable Demonstrated ability to manage calendars efficiently and handle clerical tasks such as filing, data entry, and front desk responsibilities Join us in this exciting role where your organizational prowess will support our operational success while your creative marketing contributions help elevate our brand presence.
