Role:
As an Executive Assistant, you'll partner with one of our Vice Presidents to support streamline the sales process from lead to job completion. In addition, your insight, initiative, and effort will be needed in various other aspects of the business, including marketing, operational efficiency, and high-level business decisions. Your organizational skills, positive mindset, and proficiency in Microsoft Office will help drive efficiency and ensure smooth operations.
Key Responsibilities:
Provide high-level administrative, operational, and strategic support to one of our Vice Presidents. Monitor and reply to emails with vendors, clients, subcontractors, and internal employees. Support the sales process by managing administrative tasks from lead generation to job completion. Assist the marketing department at event expos, draft marketing materials, send out marketing communications, and help design and implement new marketing initiatives. Answer incoming calls as part of a collaborative team. Enter and manage new leads in our database. Generate quantity take-offs for estimates/quotes using Automated Attentive takeoff software. Create professional proposals and design proposal maps in PowerPoint. Input job details into the scheduling system and upload relevant documents for signed contracts. Assist with job scheduling and client communications. Prepare client notices and site signs as needed. In the winter, we also perform snow removal services. Support snow removal Division on administrative tasks (new leads, compiling relevant documents for signed contracts, & assisting with the invoicing process following a Services) Perform additional duties and work on miscellaneous projects as assigned to support the team's success.
