This role helps keep marketing projects, campaigns, events, sponsorships, vendor needs, and internal requests moving efficiently through strong organization, communication, follow-up, and coordination. This is a highly collaborative role for someone who is detail-oriented, adaptable, responsive, and comfortable supporting a wide range of marketing activities in a fast-moving environment. The Marketing Coordinator works closely with Marketing leadership, internal stakeholders, vendors, and cross-functional teams to help ensure marketing initiatives are completed accurately, professionally, and on time.
Key Responsibilities Department Operations and Project Coordination:
Support day-to-day coordination of marketing projects, requests, timelines, and follow-up items across the department Help manage project deadlines, internal handoffs, approvals, and next steps to keep work moving efficiently Track deliverables, outstanding items, project status, and supporting documentation across multiple active initiatives Assist with departmental intake, request routing, prioritization support, and internal communication Maintain organized records of marketing requests, project updates, assets, vendor information, and related documentation
Administrative and Execution Support:
Provide recurring administrative support to the Marketing team, including scheduling, meeting preparation, coordination, and follow-up Assist with vendor coordination, order tracking, production timelines, and related communications Support event, sponsorship, and community visibility logistics, including materials coordination, shipping details, and execution needs Help coordinate district-facing materials, promotional items, branded assets, and related follow-up as needed Assist with invoice tracking, purchase requests, budget support tasks, and expense documentation where applicable
Marketing Campaign and Asset Support:
Support the execution of marketing campaigns, communications, and department initiatives across multiple business functions Help gather inputs, organize materials, and coordinate internal resources needed for campaign and project execution Assist in preparing presentations, documents, promotional materials, and other department support items Coordinate marketing asset requests and help ensure appropriate materials are delivered accurately and on time Support basic content updates, proofreading, formatting, and administrative marketing tasks as assigned
Communication and Service Support:
Serve as a reliable point of coordination for internal stakeholders requesting Marketing support Help ensure stakeholders receive timely updates, follow-up, and clear communication regarding project status Support a responsive, organized, and service-oriented experience across departments, clients, and field partners when Marketing support is needed Escalate issues, bottlenecks, competing priorities, or urgent needs appropriately to department leadership Maintain a positive, professional, and service-focused representation of Edustaff at all times
Event, Vendor, and Logistics Support:
Assist with planning and coordination for events, sponsorships, conferences, and community visibility opportunities Coordinate materials, promotional items, signage, shipping, registration details, and other event-related needs Communicate with vendors to support timelines, deliverables, invoices, and production details Help ensure event and sponsorship materials are accurate, organized, and delivered on time Maintain records related to events, vendors, orders, and completed marketing activities Qualifications Bachelor's degree in Marketing, Communications, Business, or related field preferred 2 to 4 years of experience in marketing coordination, project coordination, administrative support, communications, or a related role Strong written and verbal communication skills Strong organizational and time-management skills with the ability to manage multiple priorities at once High attention to detail and follow-through Comfortable working in a fast-paced, highly collaborative environment Strong problem-solving skills and a service-oriented mindset Proficiency in Microsoft Office and common project management or marketing tools Experience supporting events, vendors, logistics, campaigns, or project coordination is a plus Experience with Adobe Creative Suite is a plus Additional Preferred Highly dependable and responsive Organized, detail-oriented, and able to follow through consistently Comfortable with ambiguity and changing priorities Strong sense of ownership over details, deadlines, and communication Able to balance speed with accuracy Positive, team-oriented, and willing to jump in where needed Professional, service-focused, and collaborative Able to support multiple stakeholders while maintaining clear priorities
