An Advertising and Marketing Coordinator develops advertising and marketing sales strategies and coordinates materials needed for advertising and marketing sales. Coordinates communication with clients. May plan and create advertising or marketing materials including digital content.
Our client a biotech company located in Waltham, MA is looking for a Marketing and Events Lead for a direct hire opening they have. The client traditionally moves quickly through the interview process and will be offering 1-2 days of remote work and traditional office hours Mon-Fri. The client wants to hire someone who can run trade show programs (8-10 a year), but who possesses the foundation and appetite to grow into a full-stack marketing leader.
Key Responsibilities:
Calendar Ownership:
Manage the annual calendar of 8-10 major conferences and other smailler regional shows.
Financial Accountability:
Track the event budget, managing spend against plan across the year.
Contract Negotiation:
Negotiate exhibit space fees, sponsorship packages, and added-value placements with event organizers.
Vendor & Logistical Coordination:
Manage show-floor vendor orders and deadlines (drayage, electrical, internet, lead retrieval, furnishings) and monitor exhibitor manual timelines.
Cost Control:
Source and manage external vendors—including exhibit houses, freight, printers, and promotional/swag suppliers.
Strategic Reporting:
Bring an annual recommendation to leadership on which shows to keep, add, or drop.
On-Site Leadership:
Floor Management:
Act as the lead on the exhibit floor, managing on-site schedules, booth staffing rotations, and day-of logistics.
Prepare internal booth staff—sales reps, executives, and scientists on messaging, qualifying questions, lead capture, and booth etiquette.
Active Staffing:
Staff the booth yourself at major conferences, engaging attendees, delivering a credible portfolio overview, and handing off high-value conversations to sales.
Asset Management:
Own exhibit booth assets end-to-end (maintenance, inventory, shipping/receiving, set-up, and take-down).
Collateral & Swag:
Manage printed materials and promotional swag from ordering and inventory through on-site distribution.
Lead Capture:
Own lead-capture devices and apps, ensuring clean, complete data collection at every event.
Event Execution:
Own webinar registration, promotion, coordination, and follow-up.
Technical Rehearsals:
Run technical setups and speaker rehearsals to ensure seamless live presentations.
Audience Growth:
Drive registration and attendance; manage the promotional calendar and post-webinar nurture sequences.
Data Hygiene:
Own post-event lead ingestion, de-duplication, cleaning, and segmentation within HubSpot.
Lead Routing:
Qualify inbound marketing leads from events, webinars, and campaigns, routing them to the appropriate sales representative.
Performance Tracking:
Measure event performance across key metrics, including cost-per-lead, leads captured, and pipeline influenced.
Executive Readouts:
Deliver post-event readouts to leadership with a clear view of financial return and recommendations for future participation.
Qualifications Needed:
Experience:
2-5 years of event marketing experience, ideally in a B2B and/or life sciences environment.
Proven Track Record:
Demonstrated experience running a trade show booth autonomously (you have been responsible for a booth, not just a helper).
Financial Acumen:
Comfortable owning a budget and negotiating with vendors and event organizers.
Technical Tools:
Working familiarity with HubSpot or a comparable CRM/marketing automation platform.
Marketing Foundation:
A solid foundation in at least one other marketing discipline (content, digital, product marketing, ops, or brand) with a desire to deepen it.
Education:
B.S. in a life science or marketing discipline.
Scientific Literacy:
Ability to hold a credible conversation about life-science research and explain a technical product portfolio to a scientific audience (portfolio-specific training provided).
Interpersonal Skills:
Outgoing, confident, and genuinely comfortable striking up conversations on a busy show floor; excellent verbal and written communication.
Organizational Skills:
Exceptionally organized; capable of managing several multi-flight events simultaneously without dropping details. •Experience in the Life Sciences/Biotech industry is required!•Preferably someone who has experience with events/exhibits in the space.
