Job Description

Job Overview We are a staffing and B2B eLearning company seeking an experienced, highly organized, and proactive Marketing Coordinator. This is a varied, hands-on role combining marketing execution with routine client coordination, inbound lead screening, and support for twice-monthly educational webinars. You will work with our CEO and subject-matter experts to prepare weekly Mailchimp communications, coordinate social and blog content, review inbound leads using defined criteria, schedule qualified prospects for discovery calls, support routine client contract extensions, and manage established webinar processes. This is a coordination and screening role, not a sales or business-development position; there is no cold calling or responsibility for conducting sales meetings. The ideal candidate will demonstrate exceptional organizational skills, solid business-writing skills, excellent attention to detail, and the ability to manage multiple priorities efficiently. This position is well suited to someone who likes using AI but understands that all AI-assisted output must be carefully reviewed and corrected. Key Responsibilities Using content and rough drafts provided by SMEs (the CEO or our instructors), draft Mailchimp email campaigns, Hootsuite social posts, and related blog content promoting eLearning courses, Zoom events, and newly available instructor videos. Upload videos to the company YouTube channel and use templates and past examples for style consistency. Monitor the company LinkedIn page for activity requiring follow-up. Maintain staffing and training sales-pipeline records in monday.com using information from the CEO's meeting notes and AI-generated transcripts. Update stages, next steps, due dates, and notes. Monitor inbound leads from forms, screen them using defined criteria, and schedule discovery calls with qualified prospects. Support existing staffing clients by facilitating routine contract extensions, formatting templated agreements, and ensuring digital signatures are received on time. Write professional email replies using established SOPs and guidance. Coordinate with eLearning instructors regarding curriculum assets, content-marketing deliverables, and materials needed for upcoming Zoom events. Manage logistics for twice-monthly educational Zoom events using established processes, including registrations, reminders, calendar invitations, instructor coordination, and pre-event quality checks. The current process uses Paperform, Zapier, and Mailchimp. Provide technical support during Zoom events, including managing the waiting room, greeting attendees, monitoring event logistics, and downloading AI-generated notes and recordings. Send post-event thank-you messages, feedback surveys, and related resources. Optional, if skills apply: Create landing pages using Instapage and/or Elementor to promote events and content-marketing campaigns. Required Experience 4+ years of experience in marketing support, marketing coordination, or social media marketing. 4+ years of experience working in a B2B company with at least $20 million in annual revenue. 2+ years of experience managing inbound marketing funnel to identify B2B sales leads for screening and meeting scheduling. Microsoft 365 Skills. Intermediate or higher Microsoft 365 skills are required. All applicants will be asked to complete a short, real-time assessment during the first interview.
Word:
You know how to use styles and formatting tools, format multilevel bullet lists and tables, generate an automatic table of contents, and properly format footers and footnotes.
Excel:
You know how to use formulas and cell references and create professional-looking charts. We are not seeking a data analyst, but you should be well beyond basic data entry.
PowerPoint:
You know how to work with slide masters, SmartArt, and images to create consistent, professional presentations. You have previous experience polishing decks for business meetings, pitch presentations, or webinars. Software Tools Intermediate or higher skills are required with Word, PowerPoint, Excel, Mailchimp or similar email-marketing software, monday.com or a similar pipeline-management system, Wrike or Asana, Zoom, and Hootsuite or a similar social-media scheduling platform. Soft Skills Strong written communication and excellent attention to detail. Proactive by nature; you notice what needs doing without being asked and know when to nudge or remind SMEs when they are blocking progress. A testing mindset; you check and test your own work without being reminded. Discreet and trustworthy when handling confidential business and client information. Optional Skills Experience with any of the following may be valuable, particularly for candidates interested in additional weekly hours, but is not required: YouTube channel management, video podcast production, short-form or long-form video editing, Opus AI, Adobe Premiere Content-marketing campaign management Any of these: Elementor, Instapage, Thinkific, Optimonk, SEMrush, LinkedIn advertising, Canva, QuickBooks Online, Gusto, TubeBuddy, Structured operating frameworks such as EOS, Scaling Up, or OKRs.
Compensation & Employment Details Status:
This position will start as a 2-month contract, after which our intent is to transition to a W-2 employee (US-based). This could be 15-25 hours/week depending on skills. Upon W-2 status: This is a small business, and this role does not currently include employer-provided health insurance. We offer flexible scheduling, paid time off for major holidays, and access to professional development related to the role. Work Environment Hybrid requirement : This position requires 8 hours per week in our Marlborough, Massachusetts, office, scheduled as either one full day or two half days. This in-office requirement is firm and is not negotiable; the remaining hours may be worked from home. A regular schedule will be established when work begins.
Windows :
This position must be performed on a Windows computer. Mac-based work arrangements cannot be accommodated. You will work very closely with our
SMEs:
our CEO, instructors, and contractors Expect to participate in 2-3 Zoom meetings per week, camera on. We use Zoom chat (not Slack) for quick questions and messages. As a hybrid/remote team, we coordinate all work using our task manager (Wrike), and team members should expect to post 8-10 status updates per week.
Pay:
$40.00 - $51.00 per hour
