Job Description

We are seeking a highly organized and detail-oriented Sales & Marketing Coordinator to support the daily operations of our sales and marketing office. This role requires strong administrative expertise, excellent data accuracy, and a customer service mindset. The ideal candidate is highly independent, tech-savvy, and experienced in CRM systems, reporting, and office coordination in a fast-paced environment. Key Responsibilities Provide comprehensive administrative support to the sales and marketing team Prepare and distribute reports, mailings, correspondence, and documentation Maintain accurate files, records, and data entry within CRM systems Track time sheets, expenses, commissions, and petty cash reconciliations Generate CRM reports and ensure data integrity across systems Order office supplies and manage inventory Support marketing efforts including email campaigns, mailers, and social media updates Assist with planning and execution of community events, open houses, and weekend functions Greet visitors and provide professional front desk and phone support Support community tours and assist prospective residents and families as needed Coordinate special projects and support day-to-day office operations Maintain professionalism in all resident, family, and team interactions Required Qualifications High school diploma or equivalent required 3+ years of administrative assistant or office coordination experience Experience with CRM systems and data entry required Proficiency in Microsoft Office (strong Excel skills required) Experience with social media and/or marketing support preferred Event coordination experience preferred Skills Highly detail-oriented with strong accuracy Exceptionally organized and able to manage multiple priorities Strong Excel, data tracking, and reporting skills CRM/database proficiency with strong data integrity habits Self-starter who works independently with minimal supervision Strong follow-through and accountability Professional written and verbal communication skills Customer service-focused with a polished, professional demeanor Experience coordinating events and office initiatives Familiarity with social media platforms and content posting Work Environment Office-based, indoor, climate-controlled environment Standard hours: Monday-Friday, 8:30 AM-5:30 PM (occasional evenings/weekends as needed) May include occasional exposure to typical cleaning products used in a community setting Hospitality Commitment We value a culture of hospitality and professionalism.
