Position Summary We are a family-owned apartment management company seeking an experienced, creative, and highly organized Multifamily Marketing & Operations Coordinator. This position supports a portfolio of approximately 550 apartments across five communities located within 30 minutes of one another in a competitive, high-end rental market. The role is divided approximately equally between portfolio-wide marketing responsibilities and property-management administrative support. The successful candidate will maintain consistent and accurate property marketing, improve lead generation and leasing performance, create engaging resident promotions and events, and assist property teams with essential administrative functions. Primary Responsibilities:
Marketing and Advertising Review, maintain, and improve paid advertising campaigns for all apartment communities. Monitor advertising performance, lead volume, cost per lead, conversion rates, and return on marketing investment. Recommend adjustments to advertising strategy and spending within an established approval process. Maintain accurate and appealing property information across property-management software, websites, internet listing services, social media, and other advertising platforms. Regularly audit listings for accurate pricing, availability, amenities, photographs, contact information, and property descriptions. Coordinate photography, video, virtual tours, signage, printed materials, and other marketing assets. Create and schedule social media content that supports leasing, resident engagement, and the company's reputation. Assist with website updates, email campaigns, text-message campaigns, and other resident or prospect communications. Develop property-specific leasing promotions, resident referral programs, renewal campaigns, and seasonal marketing initiatives. Conduct market surveys and competitor research involving rents, concessions, amenities, availability, and advertising strategies. Track leads from initial inquiry through application and move-in, identifying opportunities to improve response times and conversion. Monitor online reviews and assist management with timely, professional responses. Maintain a portfolio-wide marketing calendar and ensure campaigns are executed consistently and on schedule. Prepare routine marketing reports for management and property teams. Process and track marketing invoices while helping ensure expenses remain within approved budgets. Resident Engagement and Community Events Plan and coordinate resident events across all five apartment communities. Develop an annual calendar of community activities, seasonal promotions, and resident-appreciation programs. Manage event logistics, including vendors, supplies, communications, setup, attendance tracking, and follow-up. Attend and host events that may occur during evenings or weekends. Build relationships with local businesses and community organizations to identify partnership and cross-promotional opportunities. Evaluate event participation and resident feedback to improve future programming. Ensure events reflect the quality and service expectations of the company's high-end communities. Property Operations and Administrative Support Assist property teams with processing rental applications and coordinating required screening and documentation. Review applicant files for completeness and follow up regarding missing information. Assist with lease preparation, renewals, notices, and other resident documentation as assigned. Support resident and prospect communications by telephone, email, text, and in person. Assist with accounts-payable functions, including invoice collection, coding, documentation, and routing for approval. Support security-deposit processing, reconciliation, documentation, and resident correspondence. Perform accurate data entry and maintain organized electronic and physical records. Assist with reports related to occupancy, leasing activity, renewals, delinquency, advertising, and property operations. Provide front-office or property coverage when needed. Assist with resident follow-up, service coordination, and other customer-service responsibilities. Maintain confidentiality when handling applicant, resident, employee, and financial information. Provide support for special projects and other assistant property manager responsibilities as assigned.
