Job Description
Job Overview The Office, Sales & Marketing Coordinator, serves as a welcoming first point of contact for callers, visitors, and customers while providing essential support to the Sales and Marketing teams. This role combines front office coordination, lead management, CRM support, and marketing activities to create a positive customer experience, keep operations organized, and support the team's growth initiatives. Duties and Responsibilities Reception & Visitor Experience Manage incoming phone calls, directing inquiries to the appropriate team members and assisting with customer and vendor requests as needed. Greet and assist guests, including coordinating visitor access and notifying appropriate personnel Maintain a welcoming front office experience by updating the electronic welcome board, managing visitor supplies (badges, refreshments), and coordinating company lunches, meetings, and internal events as needed. Office & Facilities Support Manage inventory, including ordering and organization of office, kitchen, and copier supplies across two business locations. Oversee office equipment maintenance, repairs, and coordinate service with vendors. Maintain a clean, organized, and welcoming environment throughout common areas, the front office and meeting rooms. Sales & Marketing Support Own the management of multiple company inboxes, including reviewing, assigning, and responding to communications Support marketing initiatives by coordinating literature and sample requests, preparing outbound communications, and managing trade show folders and follow-up materials. Use CRM data to create contact lists, track campaign activity, and provide basic performance metrics to support marketing initiatives. Maintain seminar and conference lead files, coordinate follow-up communications, and support post-event outreach efforts. Support social media efforts through content coordination, performance tracking, and analysis of engagement insights. Enter campaign expenses into CRM system. Travel Coordination Book airfare, lodging, ground transport, and venue reservations for employees and visitors, ensuring cost effective options that meet company policy. Other Duties as Assigned Provide support for special projects, data cleanup efforts, and cross-functional initiatives as needed to support company priorities. Qualifications Education & Experience High‑school diploma or equivalent required; associate or bachelor's degree preferred. 3 + years of administrative or front‑desk experience in a sales or marketing environment. Technical Skills Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook). Working knowledge of Microsoft Dynamics CRM or Salesforce; experience with lead‑gen platforms (e.g., ZoomInfo) a plus. Comfort with webinar tools and basic design/layout software is helpful. Core Competencies Strong verbal and written communication; able to interact professionally with all levels of the organization and external partners. High attention to detail, organization, and follow‑through; With the ability to manage multiple priorities calmly and effectively under deadlines. Customer‑service mindset and the discretion to handle confidential information. Ambitious / finds own work when needs to Physical Requirements / Work Environment Office‑based; frequent sitting and computer use, with occasional standing or walking. Must be able to lift up to 25 lbs. for supply replenishment or tradeshow material handling.
