Job Description
Job Overview We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will have a strong background in office management and possess excellent organizational and communication skills. This role is essential in supporting daily operations, ensuring efficient workflow, and providing exceptional customer service. The Office Assistant will be responsible for managing various tasks while maintaining a professional front desk presence. Duties Serve as the first point of contact for visitors and clients at the front desk, providing a welcoming environment. Manage multi-line phone systems, handling incoming calls with professionalism and courtesy. Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date in our systems. Perform customer transactions with accuracy and attention to detail. Maintain organized filing systems for both physical and digital documents to ensure easy access to information. Provide customer support by addressing inquiries and resolving issues promptly. Support bookkeeping activities as needed, including basic accounting tasks using QuickBooks. Collaborate with team members on various projects to enhance office efficiency. Qualifications Previous office experience is required; clerical experience is a plus. Proficiency using Quickbooks and web browser. Strong typing skills with attention to detail for data entry tasks. Excellent organizational skills with the ability to manage multiple tasks simultaneously. Bilingual candidates are encouraged to apply; fluency in additional languages is an asset. Familiarity with multi-line phone systems and phone etiquette is essential. Experience as an automotive or tire sales receptionist is preferred but not mandatory. Demonstrated ability to provide exceptional customer service and support. Strong time management skills to prioritize tasks effectively in a fast-paced environment.
