Job Description
Position Summary The Cashier/Administrative Clerk is responsible for accurately cashing out shop repair orders, tow tickets, and impound releases while maintaining strict compliance with company policies, DMV requirements, and state regulations. This role supports daily operations by performing data entry, processing DMV paperwork, managing impound documentation, and providing professional customer service to walk‑in customers, drivers, and shop staff. Key ResponsibilitiesCashiering & Payment Processing Cash out shop service tickets, repair orders, and parts invoices with accuracy and professionalism. Process payments for tow bills, storage fees, and impound releases (cash, card, certified funds). Verify invoice totals, taxes, and required signatures before finalizing transactions. Issue receipts, provide copies of required documents, and ensure proper filing of completed tickets. Balance the cash drawer at the end of each shift and report discrepancies immediately. Impound & DMV Administrative Duties Handle all impound customer interactions, including verifying ownership, confirming holds, and explaining required documentation. Prepare and process impound release paperwork in accordance with DMV and law enforcement requirements. Complete data entry for impounded vehicles, including intake details, storage dates, and release information. Maintain accurate impound files, including tow sheets, photos, notices, certified mail receipts, and release forms. Assist with DMV-related paperwork such as title applications, abandoned vehicle packets, lien notices, and certified mail tracking. Ensure all documentation meets state compliance standards and is ready for audit at any time. Data Entry & Office Support Enter customer, vehicle, and service information into Towbook or other company systems. Update ticket statuses, verify driver dispatches, and ensure all required fields are complete. Assist with scanning, filing, and organizing daily paperwork for shop, towing, and impound operations. Support the service writer and dispatcher during peak times by answering phones and gathering customer information. Maintain organized workspaces, secure sensitive documents, and follow all privacy and data‑handling policies. Customer Service & Communication Greet customers professionally and provide clear explanations of charges, processes, and required documentation. Communicate with drivers, technicians, and management to ensure smooth workflow and timely ticket completion. Handle difficult or emotional customers with professionalism, especially during impound or accident‑related interactions. Uphold company standards for courtesy, accuracy, and confidentiality. Qualifications Prior experience in cashiering, administrative work, or automotive/towing operations preferred. Strong attention to detail and ability to manage multiple tasks in a fast‑paced environment. Proficiency with computers, data entry, and office software. Ability to understand and follow state DMV and impound regulations (training provided). Excellent communication, customer service, and problem‑solving skills. Reliable, punctual, and able to maintain professionalism at all times. Physical & Schedule Requirements Ability to sit, stand, and move between office and customer areas throughout the shift. Must be available for assigned shifts, including occasional weekends or extended hours during high‑volume periods.
