Job Description
Job Overview Gracie Jiu-Jitsu Pineland is looking for a dependable, organized, and people-oriented Member Services Coordinator to help manage the day-to-day member experience and administrative operations of our school. This is more than a receptionist position. You'll become a go-to person for our members and families, helping answer questions, solve problems, manage member accounts and communication, and keep things running smoothly while our instructors focus on teaching. Experience is not required—we'll train the right person. As you learn the role and demonstrate reliability and good judgment, you'll be given greater independence and responsibility. This is a part-time position of approximately 20-25 hours per week, with the opportunity to grow in hours, responsibility, compensation, and potentially into a Member Services Manager role. Responsibilities Member & Visitor Service — Greet members, families, prospective students, and visitors and provide a friendly, professional, and welcoming experience. Member & Lead Communication — Monitor and respond to phone calls, texts, and emails from current members and prospective students in a timely, friendly, and professional manner. Lead & Sales Funnel Management — Track incoming leads and prospective students, maintain accurate lead information, conduct appropriate follow-up, help move prospects from initial inquiry to trial and enrollment, and provide regular updates on lead activity and key performance metrics. Member Account Management — Maintain accurate member information and records in Gymdesk. Billing Support — Handle routine billing and payment questions and resolve straightforward account issues. Membership Changes — Process freezes, cancellations, membership changes, and other requests according to school policies. New Member Onboarding — Help new members complete enrollment, waivers, payment information, and other onboarding requirements. Scheduling & Attendance — Assist with class schedules, registrations, attendance records, and related administrative tasks. Member Problem-Solving — Resolve routine member issues independently within established guidelines and escalate situations when appropriate. Merchandise & Inventory — Handle merchandise sales and help monitor and maintain inventory. Front Desk & Facility Presentation — Keep the front desk and member-facing areas organized, clean, and professional. Administrative Support — Complete recurring administrative tasks and help keep the school's day-to-day systems organized. Process Improvement — Identify recurring issues or inefficiencies and help improve procedures as you become more familiar with the business. Skills Friendly, professional, and confident communication skills Dependable, organized, and detail-oriented Strong customer service and people skills Good judgment, problem-solving skills, and willingness to take initiative Comfortable learning new technology, software, and administrative systems Able to manage multiple tasks and priorities in a busy environment Coachable and willing to learn our sales, lead follow-up, and member-service processes Comfortable communicating with prospective students and families and helping guide them from inquiry to enrollment Able to handle member information and business matters professionally and confidentially Previous customer service, administrative, sales, or CRM experience is a plus, but not required—we will train the right person Why Join Gracie Jiu-Jitsu Pineland? Pay:
