Position Overview The New York State Troopers Police Benevolent Association (NYSTPBA) is seeking a dedicated and highly organized Member Services & Specialist to support the daily operations of the union and serve as a key resource for active and retired members. This position plays a vital role in maintaining member records, administering benefits and programs, coordinating communications, and supporting the Executive Board. The ideal candidate is tech savvy, detail-oriented, responsive, and committed to serving the needs of law enforcement professionals and their families. Key Responsibilities Membership Services & Database Management Administer badge and ID programs, including application processing, background checks, ordering, and record maintenance Maintain accurate and up-to-date membership records, including active, retired, and honorary members Process retirements and status changes, including member outreach and coordination of benefits and dues adjustments Serve as a primary point of contact for member inquiries related to dues, benefits, insurance, and status changes Upload and monitor monthly database updates; troubleshoot and coordinate system improvements with developers Operational & Administrative Support Coordinate administrative matters for the Executive Board, including full release requests and official correspondence Support general office operations, including front desk coverage as needed Manage building access systems (gate codes, key fobs) and serve as liaison with vendors for issue resolution Troubleshoot technical issues and coordinate with IT, phone, and software vendors Assist with onboarding new staff and delegates, including equipment setup and system access Communications & Digital Content Assist in drafting and distributing union-wide communications, including e-newsletters and official updates Manage and update website and mobile applications with current member information, benefits, and announcements Maintain up to date member contact lists Oversee social media accounts, including content creation and memorial postings Programs & Member Initiatives Administer annual Supplemental Fund program including communications, application processing, and eligibility verification Coordinate production and distribution of member materials (cards, stickers, etc.) Support union elections by coordinating timelines, tracking terms, and working with third-party vendors for nominations and ballot processing Assist with legislative communications, including memoranda and letters of support or opposition Publications & Content Management Serve as editor for biannual Trooper magazine: Collect and organize content, photos, and articles Write and edit sections as needed Coordinate with publisher and review proofs Assist in producing annual calendars and other publications Employee & Benefits Administration Assist with employee onboarding, training, and benefits enrollment Coordinate benefits changes and payroll deductions with finance Liaise with insurance brokers and providers to assist members and employees with coverage-related questions Additional Responsibilities Maintain internal documents (handbooks, directories, templates, etc.) Organize and maintain office files, records, and equipment Provide general administrative support to the Board of Directors and union leadership Qualifications Associate's degree or equivalent experience in business administration, operations, or related field 3+ years of experience in administrative operations, membership services, or administrative management Strong organizational skills with exceptional attention to detail Excellent communication skills and ability to interact professionally with law enforcement personnel Ability to handle sensitive and confidential information with discretion High level of proficiency in Microsoft Office Suite Microsoft Word — drafting and formatting professional correspondence, reports, and publications Microsoft Excel — data entry, spreadsheet management, basic to intermediate formulas, pivot tables, and record tracking Microsoft Outlook — managing high-volume email, calendar scheduling, and contact management Microsoft PowerPoint — creating and editing presentations for union leadership and membership Additional technological skills Adobe Acrobat — creating, editing, and managing PDF documents and fillable forms Typing proficiency — minimum 40 WPM with high accuracy; data entry speed and precision are essential to this role General technical aptitude — ability to learn new software platforms quickly, troubleshoot basic technical issues, and coordinate with IT and software vendors Preferred Skills Experience managing membership-based organizations or associations Familiarity with benefits administration and insurance coordination Experience managing digital communications (websites, email platforms, social media) WordPress — updating and maintaining the organization's website with current information, announcements, and member resources Basic technical troubleshooting and systems coordination experience
