RESPONSIBLE TO
Unit Director
PRIMARY FUNCTION
Responsible for the overall functioning of the Front Desk operations, including handling memberships, answering phones, daily attendance through membership tracking software, directing visitors, volunteers, guests and general supervision. Must have proper phone etiquette, excellent customer service skills and possess the ability to multitask. Customer service is our primary focus while maintaining professional front desk environment.
KEY ROLES
(ESSENTIAL
JOB RESPONSIBILITIES
) 1. Record daily attendance and fees through tracking software; this includes manual/scanning check in/out and enforcing that all Club members have their Club cards. 2. Reception of and registration of all new memberships. 3. Process and/or update all membership data and records. 4. Enter all program logs in membership tracking software as requested. 5. Manage accounts receivable to include collection of payments and tracking outstanding debts. 6. Keep updated Families First records. 7. Update bus lists as needed. 8. Understanding of and ability to act accordingly to emergency response plan. 9. Answer the telephone, take messages and provide a good public image for all who call. 10. Greet all visitors to the Club and direct them accordingly. Ensure all qualified visitors have a visitor pass and keep the visitor log up to date. 11. Control the entrance to the building both inside and out. 12. Act as the information center for questions about the Club. This includes marketing the programs to both members and parents as well as distributing flyers to parents and updating informational PowerPoint as needed. 13. Professionally enforce Club rules and policies to members, parents and guests. 14. Provide tours to prospective/new members and their families. 15. Ensure bulletin boards and signage on front door is neat and up to date. 16. Organize parent information table and ensure information is not outdated. 17. Maintain organization and cleanliness at the front desk. 18. Effectively communicate with each Membership Services Supervisor and Club Director(s) on incomplete/completed tasks and/or any challenges that occur.
WEEKLY RESPONSIBILITIES
1. Inventory all supplies (membership applications, parent handbooks, flyers, club cards, office supplies, first aid supplies, etc.), replenish and request as needed. 2. Dust/clean front desk area, lobby, and foyer. 3. Dust computer and shelving. Clean out any items left behind counter.
MONTHLY RESPONSIBILITIES
1. Update bulletin boards to reflect the month's activities.
ADDITIONAL RESPONSIBILITIES
1. Participate in staff meetings and trainings as requested. 2. Assist with Club wide special events as requested. 3. Assist in additional Membership Services task as requested.
PHYSICAL AND MENTAL REQUIREMENTS
High energy level, comfortable performing multi-faceted projects in conjunction with day-to-day activities. Superior interpersonal abilities. Ability to get along with diverse personalities, at all times displaying tact, maturity and flexibility. Good reasoning abilities and sound judgment. Physical requirements include sight, hearing, sitting for four plus hours per day. Skills essential for successful communications include speaking and writing.
EFFECT ON END RESULT
All members signed up properly with membership records that are clear and accurate, and a good building atmosphere with positive public image.
