Job Description
Position Summary The Membership Coordinator is responsible for recruiting, retaining, and engaging Chamber members while serving as a key liaison to the business community. The Membership Coordinator serves as a frontline ambassador for the Rockport-Fulton Chamber of Commerce. This role is responsible for the strategic growth, engagement, and retention of Chamber membership.
Work Hours:
8:30 am. to 5:00pm. Monday through Friday, except for designated holidays Some weekend time may be requested - Some travel Key Objectives- Drive membership growth and revenue through intentional recruitment strategies
- Strengthen member retention and satisfaction through consistent engagement
- Deliver a high-value member experience that reflects a 5-Star Chamber standard
- Serve as a connector between members, programs, and community opportunities Core Responsibilities 1. Membership Development & Sales
- Actively recruit new members through outreach, referrals, and community engagement
- Conduct membership presentations and communicate value propositions clearly
- Identify opportunities to upsell sponsorships, advertising, and event participation
- Maintain a strong pipeline of prospective members and track conversion efforts
- Perform other duties as requested by the Office Manager and/or the President/CEO 2. Member Engagement & Retention
- Serve as the primary relationship manager for Chamber members
- Ensure all new members receive a high-quality onboarding experience, including welcome materials, introductions, and visibility opportunities
- Regularly communicate with members to assess needs, gather feedback, and connect them to Chamber resources
- Monitor renewals and proactively engage at-risk members before lapsing 3. Member Experience & Communications
- Coordinate and contribute to member communications, including newsletters, email campaigns, and announcements
- Ensure accurate and up-to-date member listings across all platforms (website, directory, CRM)
- Promote member businesses through Chamber channels and storytelling opportunities
- Support the development of marketing materials that highlight member value and success 4. Events & Programs Coordination
- Plan and execute membership-focused events such as: ○ Ribbon cuttings and groundbreakings ○ Business After Hours / mixers ○ Membership luncheons and networking events
- Coordinate logistics, promotions, and follow-up to maximize attendance and engagement
- Support major Chamber events (Business Showcase, community events, etc.)
- Collaborate with volunteer groups (e.g., Bay Blazers) to enhance member involvement 5. Data Management & Reporting
- Maintain accurate membership records in the Chamber database (CRM)
- Manage invoicing, dues processing, and accounts receivable related to membership
- Track and report key metrics: ○ Membership growth ○ Retention rates ○ Event participation ○ Revenue from membership and related programs
- Prepare regular reports for leadership to support strategic decision-making 6. Operational Support
- Assist with visitor center overflow and front-line inquiries when needed
- Ensure compliance with records retention policies and organizational procedures
- Support overall Chamber operations and team initiatives Performance Expectations (5-Star Standards)
- Demonstrates a member-first mindset in all interactions
- Consistently meets or exceeds membership growth and retention goals
- Operates with professionalism, responsiveness, and attention to detail
- Builds strong, trusted relationships within the business community
- Brings initiative, creativity, and solutions-oriented thinking to the role Qualifications
- Experience in sales, customer service, marketing, or membership-based organizations preferred
- Strong communication and interpersonal skills
- Ability to manage multiple projects and deadlines with high attention to detail
- Proficiency in CRM systems, Microsoft Office, and digital communication tools
- Event coordination experience is a plus
- Self-motivated with a positive, professional, and team-oriented attitude
