Job Description

ABOUT THE JOB
: Essential Functions Provide excellent service to members, guest, and community; greeting each as they enter the building using established procedure controlling facility entry. Delivers the YMCA mission and philosophy to staff, members, and guests. Conducts interviews and/or facility tours responsive to the needs of prospective members; sells memberships. Responsible for financial transactions at the front desk, which may include, but not limited to: program registrations, membership sales, balance due payments, and sale of merchandise/rental equipment. In addition, will be responsible for accurate membership records, receipts and cash, as well as ensuring that end-of-shift reports are complete and accurate. Takes a proactive role in solving member problems and directing them to the appropriate resources. Required to possess knowledge of all member handbook policies. Answers multi-line phones in a polite, professional manner, ensuring calls are routed to the appropriate departments and messages are delivered. Utilize computer programs such as Microsoft Word and Excel. Ability to learn and processes data into the custom software program. Maintain clean, attractive, safe, and functional facilities that meet or exceed Health Codes and Y standards. Review, practice, follow, and make recommendations to improve safety procedures and practices at the Y. Respond to emergency situations throughout a multi-story building. Assist with Risk Management functions including coordinating and completing building walk throughs. Perform other duties as assigned. Member Relations Greet all members, by learning and using their names, which enter the YMCA. Assist in scanning members' cards, monitor and control access to the facility, process membership sales, register members for programs, and troubleshoot member issues. Ensures that membership applications and the affiliated data entry is complete and correct. Adhere to all opening, middle and closing shift procedures. Builds relationships with members; helps members connect with one another and the YMCA. Work as a team member; respect fellow Y employees and be professional in communication. Handle additional tasks as required. Administrative Responsibilities Efficiently handle day-to-day operations of the front desk including, but not limited to, phone calls, membership communication, emails, membership sales, program registrations, payments, tours, etc. Must possess a strong understanding of all programs, activities and services with the ability to provide members detailed, accurate and timely information regarding schedules, costs, programs and facility information. Accurately input membership data into our database system and process the associated dues and fees. Open and close facility according to established procedures. Handles emergencies throughout the building as they arise and complete incident reports as required. Take responsibility at the beginning of the shift to check the staff communication log for daily updates, verify cash, check that member communication materials are stocked and work area is neat. Adhere and enforce all YMCA policies and procedures, also ensures that members and community members are aware of policies and procedures that apply. Responsible for the security of the building and members/community members by requiring members present their cards for scanning and for visitors to sign in, present photo ID and screen for sex offenders. Maintain privacy requirements by not sharing personal, financial, or credit information about members or participants including but not limited to phone numbers, addresses, program participation, financial information, or personal situations. Attend all required staff meeting and trainings. Handle additional tasks as required. Financial Responsibilities Verify cash drawer contents at opening, midday and closing shifts. Complete end of shifts accurately and make sure deposits are complete (all checks have deposit stamps, credit card transactions are accounted for, cash and coin must match deposits, etc.) Accurately process payments for membership sales, program registrations and balance due payments. Collect banking information for memberships and explain automatic bank draft policies. Handle additional tasks as required.
Qualifications :
High school graduate or equivalent. Current CPR and First Aid certifications within 30 days of hire and maintain certification. Criminal background clearance within association standards. Previous customer service experience with diverse populations preferred. Ability to develop positive, authentic relationships with people from different backgrounds. Able to remain calm under pressure. Excellent people skills to build relationships with members, staff, volunteers and guests. Ability to handle multiple tasks, work independently, resolve problems and possess effective time management skills.
Work Environment and Physical Demands:
Ability to walk, stand, move up/down stairs or sit for extended periods of time. Position may require bending, leaning, kneeling and walking. Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency situation through a multistory building. Ability to enter/view/audit data for long periods of time. While performing the duties of the job, the employee is regularly required to use a computer for extended periods and be able to communicate using a computer and tablet device. Employee must occasionally lift and/or move up to 25 pounds.
POSITION SUMMARY
This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. The Membership Services Representative is responsible for the delivery of excellent service to Y members, program participants, and the public. This position responds to member and guest needs, promotes memberships and programs, and assists in maintaining cleanliness and organization of the lobby area and safety of the building.
