Job Description

The parts person is primarily tasked with providing the assets (parts, tools and supplies), to maintenance personnel (mechanics), as needed to complete maintenance on the aircraft that are operated by Baron Aviation Services. Included in this task is the maintaining of parts inventory records, and returning cores to vendors for repairs. The parts person's secondary tasks can include, but is not limited to, assisting other personnel in the completion of records, work orders, invoices and reports. Accurate coordination with personnel within Baron as well as personnel with Baron's customer and with Baron's vendors is critical to accomplish these tasks. Expected duties include but are not limited to: 1. Aircraft parts inventory control. Taking parts requests from multiple warehouses, and fulfilling the requests by ordering the appropriate part from the correct vendor or by searching warehouse inventories and directing or performing the shipment of the parts from warehouse to warehouse. The ordering of parts to warehouses from vendors utilizing differing ordering procedures. This must be accomplished in a manner that assures the parts and relevant part information is available to properly support maintenance control personnel in their duties of having airworthy aircraft available for flight as required. Maintaining accurate counts and accountability of parts, tools, part cores and part usage at multiple warehouses to the satisfaction of the Director of Maintenance and the company's customer. Maintaining within databases part quantities, ordering and receiving histories, and history of shipping parts between warehouses. The returning of cores to appropriate vendors in a timely manner. Reviewing work orders from maintenance bases to assure the parts ordered or shipped to complete the maintenance is accurately reflected on the work order. This includes proper part numbers, proper serial numbers, and proper part quantities, etc. Communicating with vendors to resolve issues with procuring parts and returning cores. Communicating with maintenance bases to coordinate with taking parts requests, checking inventories, transferring parts and returning cores. Utilizing parts and maintenance manuals, part references, procedure references, service bulletins, and other sources to perform tasks properly. Will also be responsible for assuring that said sources are current and accurate. Maintaining files for vendor invoices, purchase orders, core return histories, shipment histories, etc. This is within databases or electronic files as appropriate. Performing physical inventory and cycle inventory counts in all warehouses. Travel to offsite warehouses to perform will be required. 2. Assisting other maintenance department personnel in the completion of their duties. Assisting in the processing and completion of invoices, work orders and purchase orders. Assisting in the analysis, processing, editing and correcting of aircraft maintenance record information in multiple databases. Assisting or researching for the Director of Maintenance or maintenance control personnel in special projects concerning records, maintenance and parts. The parts person will be cross-trained to perform the duties of other maintenance control personnel to allow flexibility of tasks being assigned and completed within the maintenance department. Competency is expected in several areas: 1. Trained in or experience with data processing methods. 2. The maintaining and analysis of information in databases as well as Microsoft Excel files and reports. 3. Taking parts requests from maintenance personnel or maintenance control personnel and to determine the most expedient method of procuring parts to fill the part requests. 4. Show knowledge about the part numbers used on the aircraft. This includes knowing where to search for part numbers in parts manuals and references. Recognizing which part numbers come from which vendor. Recognizing which part numbers represent parts to be returned as cores, and recognizing part numbers and how to receive them into inventory properly. 5. Communicating with maintenance control and or vendors if difficulties arise (backorders, shipping problems etc.) and finding solutions to fill the part requests in a timely manner. 6. Researching part and maintenance information in databases, manuals, references, service bulletins, etc. 7. Maintaining awareness of inventory status as well as quantities of on hand parts in the warehouses. 8. Maintaining awareness of parts requested for scheduled or unscheduled maintenance, and using that awareness to assure that submitted work orders (parts used and maintenance performed) are accurate. This provides accountability to Baron Aviation and our customer that work requested of the maintenance bases is performed, and that billing is accurate. 9. Maintaining awareness of the status of core parts due for return to the vendors, and correcting problems in the core return processes if any occur. Assuring that cores are returned in a timely manner avoiding late charges. 10. Communicating with and providing assistance to supervisors, coworkers, the vendors or the customer in a professional and competent manner that assists the company in performing its mission of providing airworthy aircraft available for flight as required to the satisfaction of the customer. 11. Taking the initiative to learn how to perform tasks properly. Taking notes during training, creating and changing procedure references on a day to day basis will be necessary. This could also mean asking for guidance from others in the maintenance department. 12. Must have good communication and self-motivation skills.
