Job Overview Position Summary The Warranty Clerk is responsible for preparing, submitting, tracking, and reconciling all manufacturer warranty claims while ensuring compliance with factory policies and dealership procedures. This role works closely with service advisors, technicians, parts personnel, and management to maximize warranty reimbursement and maintain accurate records. Key Responsibilities Process manufacturer warranty claims accurately and in a timely manner. Review repair orders for completeness before claim submission. Verify technician stories, labor operations, causal parts, and documentation meet factory requirements. Submit claims electronically through manufacturer warranty systems. Monitor claim status and follow up on pending or rejected claims. Correct and resubmit rejected warranty claims promptly. Reconcile warranty schedules and accounts receivable. Maintain warranty parts retention and documentation according to manufacturer guidelines. Assist with manufacturer warranty audits. Communicate with service advisors and technicians regarding documentation deficiencies. Ensure compliance with all manufacturer warranty policies. Track warranty receivables and aging reports. File and maintain electronic and physical warranty records. Support month-end closing procedures related to warranty accounting. Assist customers and staff with warranty coverage questions. Perform additional administrative duties as assigned. Qualifications Previous automotive dealership experience preferred. Warranty administration experience is highly preferred. Understanding of dealership service operations. Knowledge of manufacturer warranty guidelines is a plus. Strong computer and data entry skills. Excellent organizational and time management abilities. Ability to prioritize multiple tasks with minimal supervision. Strong written and verbal communication skills. High level of attention to detail and accuracy. Professional attitude and team-oriented mindset. Preferred Experience Dealertrack, or similar DMS experience. Nissan warranty experience preferred but not required. Experience with manufacturer warranty portals. Basic accounting or bookkeeping knowledge. $10.00 - $13.00 per hour
