Job Description

The Parts & Maintenance Coordinator plays a critical role in supporting daily operations for a pipeline construction company. This position is responsible for managing parts inventory, coordinating purchases and deliveries, maintaining organized shop and yard facilities, supporting maintenance tracking, and providing administrative assistance to management and field operations. The ideal candidate is highly organized, self-motivated, adaptable, and thrives in a fast-paced team environment.
Duties and Responsibilities:
Order, receive, and pick up parts, materials, and supplies as needed. Maintain accurate inventory records and ensure adequate stock levels of parts and consumables. Coordinate and process purchase orders with employees. Deliver parts, materials, and supplies to job sites as required. Organize and maintain shop, warehouse, and yard areas to ensure a safe and efficient work environment. Enter maintenance transactions and equipment records into company management systems. Assist with equipment maintenance documentation and tracking. Organize, file, and maintain paperwork received from field personnel. Update spreadsheets, reports, and other operational records for management. Support mechanics and maintenance personnel as needed. Coordinate with field crews, vendors, and management to ensure operational needs are met. Perform additional duties as assigned to support company operations. Other duties as assigned by supervisors. Qualifications (Knowledge, Skills and Abilities): Strong organizational and time management skills. Strong attention to detail and accuracy. Dependable, punctual, and committed to supporting team success. Excellent communication and teamwork skills. Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. Ability and willingness to travel as needed. Ability to work outdoors in any weather conditions on a regular basis including extreme cold and heat. Ability to lift up to 50 lbs. Ability to stand, stoop, crouch, kneel, and perform other related physical activities for long periods of time. Must be able to pass DOT required drug test. Must have a clean motor vehicle report.
Experience:
High school diploma required or equivalent required. Previous experience in inventory control, logistics, construction support, fleet maintenance, or related field preferred. Proficient with Microsoft Office applications, including Excel, Word, and Outlook. Mechanical aptitude and familiarity with equipment or construction operations preferred.
