Full Job Description Parts Administrator Reports To:
Regional Service Manager Join the MWR Team! Mike's Westside Rental is a family-owned Texas equipment rental company known for dependable equipment, top-tier service, and a strong team culture. About the Role We're looking for a Parts Administrator to support and elevate our service operations. This role is a critical link between the shop, vendors, sales, and operations, ensuring our fleet stays running, ready, and cost-efficient. You will help manage service workflow while owning parts availability, vendor performance, and inventory strategy across our branches. This is a safety-sensitive position with a direct impact on uptime, efficiency, and customer satisfaction. What You'll Do Parts Operations (Primary Emphasis) Oversee the parts management process across all branches Ensure critical parts availability to minimize downtime on large equipment Manage daily ordering, inventory levels, and vendor coordination Analyze parts usage trends and proactively adjust stocking levels Own vendor relationships, focusing on pricing, availability, and responsiveness Oversee purchasing for fleet/service-related needs, including tires, parts, and shop supplies Standardize parts processes to improve efficiency and consistency across locations Service Operations (cross functional with the Warranty/Customer Damage Administrator) Monitor all work orders to ensure they're processed and closed in a timely, accurate manner Write and review repair stories to ensure service documentation is complete Track preventative maintenance schedules and service activity Review equipment pick-ups and coordinate with the shop and sales team regarding customer damage Communicate repair and service updates between departments Operational & Vendor Coordination Coordinate tire service calls across all branches and monitor vendor responsiveness Manage vendor setup for new and existing locations Support cost control efforts across parts and service operations Reporting & Support Provide reporting to management on service activity and parts usage Identify inefficiencies and implement process improvements Demonstrate flexibility by supporting cross-functional needs as the business grows What We're Looking For (REQUIRED) Experience as a Service Writer, Service Coordinator, Parts Manager, or similar role (rental or heavy equipment preferred) Strong understanding of large equipment parts, sourcing, and vendor networks Mechanically inclined and comfortable with service operations Highly organized, detail-oriented, and dependable Strong communication skills and ability to coordinate across teams Ability to manage multiple priorities in a fast-paced environment Why This Role Matters Keeps equipment working and available Ensures parts are in place when needed Reduces downtime and improves operational efficiency Supports scalable growth across multiple branches Success in This Role Success in this role is measured by: Parts availability and inventory optimization across branches Fleet uptime and equipment availability Turnaround time on repairs and work orders Accuracy and completeness of service documentation Cost control and operational efficiency Effective cross-functional communication and execution General Physical & Environmental Requirements Ability to work outdoors and indoors in varying weather conditions common to Texas, including heat, cold, wind, rain, humidity, and dust Ability to stand, walk, bend, stoop, kneel, crouch, climb, and work in physically active environments for extended periods Ability to safely lift, push, pull, and carry equipment, tools, and materials with or without reasonable accommodation Ability to use hands repetitively to handle, grip, manipulate tools, controls, and equipment Ability to work around moving machinery, vehicles, loud noise, fuels, oils, grease, solvents, and other common construction rental hazards while wearing required PPE Ability to maintain visual and auditory awareness for safety-sensitive environments Ability to perform essential functions of the job with or without reasonable accommodation in accordance with the ADA Why Join MWR?
