Wedding Coordinator & Assistant Meetings & Events Coordinator (Group Specialist)

Monday-Friday (Day Shift) Evenings and weekends as needed for special events Position Overview The Wedding Coordinator & Assistant Meetings & Events Coordinator is responsible for the full lifecycle booking and coordination of wedding transportation services, as well as assisting with meetings, events, and group transportation. This role works closely with clients, partner hotels, venues, and internal departments to ensure flawless execution, outstanding guest satisfaction, and achievement of revenue goals. The position also supports the Director of Business Development in driving overall sales performance. Key Responsibilities Wedding & Group Coordination Book and coordinate wedding transportation groups sourced directly from clients and partner hotels. Coordinate shuttle schedules and other transportation logistics as required. Act as the primary point of contact for wedding clients from initial inquiry through event completion. Conduct post-event follow-up with clients and venues within 48 hours to ensure satisfaction and identify incremental revenue opportunities. Ensure all operational details, notes, instructions, and signage requirements are accurately communicated to the Dispatch and Operations teams in a timely manner. Sales & Business Development Support Proactively sell transportation solutions by assessing client needs and recommending appropriate services. Prospect and solicit new and repeat business from existing and potential accounts. Conduct sales presentations and site inspections for wedding accounts and prospective group clients. Meet with current venues and prospect new venue partnerships to expand market presence. Assist in achieving quarterly group revenue goals aligned with the annual budget. Participate in sales blitzes and attend outside organizational meetings when requested. Event & Internal Coordination Coordinate event logistics with clients, hotels, venues, and internal departments to ensure seamless execution. Attend in-house meetings (e.g., sales meetings, managers' meetings) as requested. Maintain organized filing systems, tracking tools, and office procedures. Answer incoming calls and prepare proposals, contracts, and correspondence accurately and promptly. Keep management fully informed of any issues, challenges, or unusual matters of significance. Perform special projects and additional duties as assigned. Attend company-sponsored functions and represent the company professionally at all times. Qualifications & Experience High school diploma or equivalent education/experience required. Minimum of two (2) years of experience in the hospitality, events, or sales industry. Prior experience in catering, hotel sales, or event coordination preferred. Previous limousine or car service experience is not required . Knowledge of sales principles and hospitality operations. Strong communication skills with the ability to negotiate, persuade, sell, and influence clients and internal stakeholders. Ability to make sound decisions quickly in a fast-paced environment. Proficiency with basic accounting and arithmetic functions. Strong analytical skills with the ability to assess information and make logical recommendations. Ability to work independently while managing multiple priorities under pressure. Professional Standards Perform all duties efficiently and in accordance with company policies and procedures. Consistently project a professional and positive image of the company to clients, partners, and the public.
