POSITION DESCRIPTION
Leasing Specialist
POSITION OVERVIEW
The Leasing Specialist is responsible for driving occupancy and delivering an exceptional prospect and resident experience. This role manages the leasing process from initial inquiry through move-in by conducting effective discovery conversations, presenting apartment homes, and guiding prospects through the application process. Success in this role requires strong communication skills, the ability to build rapport quickly, and consistent follow-up. The Leasing Specialist also supports resident retention efforts, maintains community presentation standards, and ensures compliance with Fair Housing regulations while contributing to the overall leasing and marketing strategy of the community.
KEY RESPONSIBILITIES
Leasing and Sales Respond promptly to all inbound inquiries via phone, email, and online platforms, converting leads into scheduled tours. Conduct engaging, tailored property tours that connect the prospect's needs to the community's features and available units. Follow up consistently with prospects throughout the decision-making process to maintain momentum and close leases. Meet or exceed monthly leasing goals including traffic-to-lease conversion rates and occupancy targets. Accurately prepare and execute lease agreements, addenda, and move-in documentation in compliance with company policy. Resident Experience Provide a welcoming, professional first impression at every point of contact - in person, by phone, and in writing. Support new resident move-ins by ensuring units are ready, completing move-in inspections, and orienting residents to the community. Address resident questions and concerns promptly, escalating to the Property Manager when appropriate. Assist in planning and executing resident events and retention initiatives that strengthen community engagement. MarketingOutreach Monitor and report on traffic sources, lead volume, and conversion metrics to support leasing strategy adjustments. Maintain an accurate and current knowledge of competitor properties, pricing, and availability through regular market surveys. Ensure the leasing office, model unit, and common areas are consistently presented at the highest standard. Support the management of online listings, social media content, and reputation management responses as directed. AdministrativeCompliance Maintain accurate prospect and applicant records in the property management software. Process rental applications, screen applicants, and communicate decisions in accordance with fair housing laws and company policy. Collect and properly document holding deposits, application fees, and move-in funds. Complete daily, weekly, and monthly reporting as required by the Property Manager.
QUALIFICATIONS
Required High school diploma or equivalent. Strong verbal and written communication skills with a natural ability to connect with people. Basic computer proficiency including email, Microsoft Office, and ability to learn property management software. Ability to work a flexible schedule including weekends, as leasing activity peaks on Saturday and Sunday. Valid driver's license and reliable transportation. Preferred 1+ years of experience in sales, retail, hospitality, leasing, or any customer-facing role. Familiarity with property management software such as Yardi, RealPage, or equivalent. Experience with CRM tools or lead tracking platforms. Demonstrated track record of meeting sales or performance goals in a prior role. Knowledge of basic fair housing principles.
