We are a boutique trusts and estates firm based in Milpitas, representing elders, individuals, and families statewide in Estate Planning, Medi-Cal and Special Needs Planning, Estate Tax Planning, and Estate and Trust Administration. We are known for long-term risk management and helping families protect what matters most. As our Estate Planning Legal Assistant, you'll be a key part of our Estate Planning team, guiding clients from their first meeting through their signing. You'll gather the information our attorneys need, own key scheduling stages, and serve as a trusted point of contact for our Spanish-speaking clients. Your organization, attention to detail, and warmth will help every client feel informed, prepared, and cared for. Responsibilities Estate Planning Support Prepare for onsite consults, reviews, and signings so every meeting starts on time and runs smoothly. Review client notes and files to pre-populate estate planning questionnaires and other intake forms. Process client paperwork and payments, keeping accurate records in Clio. Assemble estate planning binders and seminar folders. Monitor estate planning supplies and restock before we run low. Client Coordination and Scheduling Own scheduling for key stages of the estate planning process: Design Prep meetings, Design Consults with attorneys, and Review/Signing appointments. Call, text, and email clients to confirm appointments and make sure they're prepared for each meeting. Work with clients to gather the documents, data, and information needed to move their plans forward. Contact clients to arrange pickup of personal documents they've brought in, as well as finalized documents after signing. Spanish-Language Client Support Communicate with Spanish-speaking clients by phone, email, and in person. Translate and interpret during meetings, calls, and written correspondence to help clients understand each step of their plan. Reception Backup Cover phones and greet clients and visitors when our receptionist is away or busy. Required Qualifications Fluent in Spanish and English, spoken and written. 1+ year of experience in office administration, customer service, client relations, or another client-facing role. Comfortable with phones, email, scheduling, and general office technology. Able to handle confidential information with discretion. Preferred Qualifications 2+ years of experience in a law firm or professional services office. Familiarity with estate planning documents or processes. Experience with Clio, Lawmatics, Smartsheet, Microsoft Office, or Claude. Notary Public commission, or interest in becoming a Notary. A reliable vehicle and willingness to run errands to the County Clerk-Recorder's office, the post office, and stores for seminar supplies. Skills & Attributes You spot issues in client files before they become problems. You're organized and can keep many client matters moving at once. You communicate warmly and professionally in both languages. You stay calm under pressure and take ownership of your work.

$25.00 - $30.00 per hour
