Job Description

Real Estate Legal Assistant & Closing Coordinator (in-office and full-time) Title Company & Real Estate Law Firm- North Miami, FL We are a fast-paced, investor-focused title company and real estate law firm seeking a high-performing Real Estate Legal Assistant & Closing Coordinator who can take ownership of files, support multiple functions across the transaction pipeline, and step in wherever needed to keep deals moving. This is a hands-on, team-first role for someone who thrives in a high-volume environment, can think on their feet, and is comfortable wearing multiple hats throughout the closing process. What You'll Be Responsible For You will play a central role in keeping transactions on track from intake through closing and post-closing. File & Closing Oversight Manage and oversee closing files to ensure they are fully prepared and ready to close Review title commitments and assist in clearing requirements Coordinate with lenders, agents, buyers/sellers, and internal team members Prepare and review CDs, HUDs, and closing packages Ensure accuracy of figures and timelines across all parties Transaction Execution Set up and verify wire instructions Disburse funds and assist with post-closing tasks Support closings and ensure smooth execution on closing day Cross-Functional Support (Critical Part of Role) Step in as a title processor or closer when needed Assist with phone coverage during high-volume periods Handle prospect and client calls with professionalism and confidence Support team members to keep the entire pipeline moving efficiently Client & Deal Flow Support Assist with intake of new deals and client onboarding Help maintain organization and momentum across all active files Deliver a high level of service in a fast-moving, client-facing environment Who This Role Is For This is for someone who: Takes ownership of their files and does not wait to be told what to do Is comfortable jumping between tasks and roles throughout the day Thrives in a fast-paced, high-volume closing environment Is solutions-oriented and can problem-solve under pressure Understands that getting deals to the closing table is the priority
Qualifications Required:
Minimum 2+ years of experience with Florida real estate closings (working at a title company or real estate law firm) Strong knowledge of Florida real estate closing practices Excellent organizational skills and attention to detail Strong communication skills (written and verbal) Ability to manage multiple files and deadlines simultaneously Proficiency in
Microsoft Office Florida Notary Public Preferred:
