Job Description
Working Hours:
8:30 am - 5:30pm Essential Duties and Responsibilities include the following. Manages and processes all administrative and operational tasks within the real estate office, providing the primary administrative support to the sales team. Other duties may be assigned to meet business needs. Agent Manager- Assist Agents with processes, procedures, equipment
- Greet everyone that arrives
- Open and close office, maintain office with a focus on required maintenance, cleanliness and equipment operation. Report all cleaning, repair, maintenance or needed items to the Maintenance Dept.
- Receive, verify and process the new listings, sales contracts, and listing/contract changes information in a timely manner
- Assimilate and distribute documentation to the required staff & departments for continued processing
- Distribute information to other offices as appropriate
- Maintain lockbox inventory assigned to office
- Maintain printers/copiers with proper supplies and manage service issues
- Create monthly color copier report for agent billing
- Order and maintain office's supply of marketing materials, office supplies and miscellaneous items used throughout the office
- Maintain and manage schedule/issues for Agents on Duty
- Maintain and monitor supplies in the Sign Closet
- Assist agents with downloading pictures if needed
- Maintain/Update Forms drawer
- Maintain and check out cameras
- Pick up and distribute mail to Agents and to Corporate
- Maintain Top Producer photos displayed in the office Qualification / requirement:
- Professional appearance, positive attitude, mature personality with a willingness to work in a fast paced, team member environment
- Detail oriented, able to multi-task and provide concierge level of customer service within a high-stress, demanding work environment
- Proficient in all Microsoft Office programs, Internet functionality, MLS and general real estate software programs
- Operation of standard office equipment and office management procedures Education /
Experience:
- High school diploma
- Associates degree or some college preferred At least 3 years experience in professional office environment (Real Estate Preferred)
