Quarterman Realty Group Inc. | Moorestown, NJ Part-Time to Full-Time | Approximately 20-25 Hours/Week to start | In-Person Quarterman Realty Group Inc. is seeking a motivated, highly organized and resourceful Executive & Personal Assistant to work directly with the Broker/Owner of a growing independent-boutique real estate brokerage. This is more than a traditional administrative position. I'm looking for someone who can become my right hand — someone who keeps the details organized, follows through without being chased, helps manage both business and occasional personal responsibilities, and makes sure important things don't fall through the cracks. The right person is proactive, dependable, comfortable working in a fast-paced environment and naturally thinks, "I've got it." This position will begin part-time at approximately 20-25 hours per week , with the potential to grow into a full-time position as the company grows. What You'll Own This position combines executive support, real estate administration, listing coordination, compliance-transaction support and personal assistance.
Responsibilities may include:
Manage the Broker/Owner's calendar, appointments, meetings, reminders and priorities Monitor administrative follow-ups and help ensure deadlines and commitments aren't missed Manage and improve systems for sellers, buyers, listings and client follow-up Maintain the CRM and client database, including data entry, organization and follow-up tracking Assist with listing coordination from pre-listing preparation through closing Coordinate photographers, stagers, contractors, inspectors and other vendors Prepare listing materials, seller packages, open-house materials and client documents Assist with transaction coordination and maintain organized, compliance-ready transaction files Maintain digital files, checklists, templates and brokerage records Assist with marketing coordination, including Canva materials, property marketing and social-media support Coordinate client events, open houses and other brokerage activities Communicate professionally with clients, agents, vendors and service providers Handle occasional local errands and personal administrative tasks for the Broker/Owner Research, schedule and coordinate appointments and services Help document and improve systems as the brokerage grows Identify outstanding items and follow through until they are completed A major goal of this position is to remove administrative and operational tasks from the Broker/Owner's plate so she can focus on listings, clients, negotiations, lead generation and growing the brokerage.
The Person I'm Looking For:
You don't have to know everything on Day 1. You do need to be someone who learns quickly, takes ownership and follows through.
The ideal candidate is:
Extremely organized and detail-oriented A self-starter and quick learner Dependable and consistent Comfortable managing multiple priorities Resourceful and willing to figure things out Able to work independently without constant supervision Excellent at follow-up and completing tasks Comfortable making phone calls and communicating with clients and vendors Professional in both written and verbal communication Experienced in providing excellent customer service Comfortable handling difficult conversations or helping resolve problems Tech-savvy and comfortable learning new software Discreet and trustworthy with confidential business and personal information Flexible when priorities change Someone who notices what needs to be done and takes action Real Estate Experience Experience in real estate, mortgage, title or another real-estate-related industry is strongly preferred but not required . An active New Jersey real estate license, or currently attending real estate school, is a plus — not a requirement . This position may be especially attractive to someone who enjoys the real estate industry but prefers operations, organization and supporting the business over building a full-time personal sales business. Candidates whose primary objective is to quickly transition from this position into becoming a full-time sales agent may not be the best fit. Technology You should be comfortable with computers and cloud-based technology. Experience with any of the following is a plus: Google Workspace, Canva, CRM systems, transaction-management software, electronic signatures, social-media platforms and general office technology. Training will be provided on our specific real estate systems and processes. Education High School Diploma/GED required College degree preferred but not required Additional language skills, including Spanish and/or Korean , are a plus. Schedule Monday-Friday...some weekends Approximately 20-25 hours per week to start This is primarily an in-office position in Moorestown, NJ and is not a remote position. Some flexibility may occasionally be required for client events, listings, open houses or time-sensitive real estate matters. There is potential for this position to grow into a full-time role for the right person. Compensation Hourly compensation based on experience, with the potential for performance-based bonuses as the position develops. This Probably Isn't For You If... You need detailed instructions before taking action on every task You regularly need reminders to complete assignments You dislike changing priorities You're uncomfortable talking with clients or vendors You want a completely remote position Your primary goal is to use this job as a short-term path into full-time real estate sales This Could Be a Great Fit If... You're the person people rely on. You like organizing chaos. You enjoy checking things off the list. You anticipate what someone is going to need before they ask. And when you say, "I'll take care of it," people know it's handled. That's the person I'm looking for. How to Apply Along with your resume, please answer these three questions: Why does this particular position interest you? Tell me about a time you noticed something needed to be done and handled it without being asked. What is something a former employer would say they could always count on you to handle? Please don't send a generic response. I want to learn a little about the person behind the resume. Quarterman Realty Group Inc. is an equal employment opportunity employer.
