Overview We are seeking a dynamic and detail-oriented Full-Time In Office Transaction Coordinator to join our vibrant real estate team. This pivotal role involves managing the entire lifecycle of real estate transactions, ensuring seamless communication between clients, agents, lenders, and other stakeholders. The ideal candidate will thrive in a fast-paced environment, possess excellent organizational skills, and demonstrate a passion for delivering exceptional customer service. Duties Manage and coordinate all aspects of residential real estate transactions from contract to closing, ensuring compliance with industry standards and legal requirements. Facilitate effective communication between buyers, sellers, agents, lenders, title companies, and attorneys to keep all parties informed and engaged throughout the transaction process. Utilize sales technology adoption tools and Customer Relationship Management (CRM) systems to track transaction progress and maintain detailed records. Negotiate repair requests with clients and other agents to achieve favorable outcomes while adhering to Fair Housing regulations and ethical standards. Assist in marketing efforts by preparing marketing materials and promoting properties across various channels. Ensure all transaction documentation is accurate, complete, and compliant with real estate law; manage deadlines for inspections, appraisals, disclosures, and other critical milestones. Build strong client rapport through effective communication skills, managing client expectations, and providing exceptional customer service throughout the transaction process. Support managing real estate teams by coordinating schedules, tracking leads, and assisting with administrative tasks related to business management and sales activities. Qualifications Proven experience in managing real estate transactions with a strong understanding of residential real estate processes. Excellent negotiation skills combined with a thorough knowledge of real estate offer negotiation strategies. Proficiency in Microsoft Office/Google Business Suite (Word, Excel, Outlook) and familiarity with sales technology adoption platforms. Strong organizational skills with meticulous attention to detail; capable of managing multiple transactions simultaneously. Knowledge of real estate law, Fair Housing regulations, and industry trends is essential. Prior experience using Customer Relationship Management (CRM) systems supported by technical teams is preferred. Exceptional communication skills—both verbal and written—to foster positive client relationships and facilitate clear negotiations. Administrative experience within the real estate sector is advantageous for handling documentation efficiently.
