We are seeking a dedicated and knowledgeable A dministrative Assistant to join our brokerage. The ideal candidate will possess strong administrative skills, ability to multitask, excellent customer service skills, and a basic understanding of the real estate sales process. This role requires a combination of excellent customer servies skills, organizational skills, attention to detail, excellent communication abilities, and collaboration with agents, clients, and vendors to ensure smooth operations within the brokerage. Duties Coordinate and manage various tasks of the pre-listing process. Coordinate photography, videography, and open houses. Input and launch listings in the MLS. Prepare marketing materials for listings, open houses, etc., including social media posts and print collateral. Manage real estate transactions from contract to close. Manage all contract timelines and contingency deadlines to ensure a smooth progression to closing. Monitor every stage of ​a transaction to identify and resolve potential issues before they impact the client experience. Regular communication and coordination with agents, clients, lenders, title companies, etc. Serve as a dedicated point of contact, ensuring clients feel informed, supported, and cared for at every stage of the transaction. Anticipate client needs and proactively communicate upcoming milestones, timelines, and next steps. Address questions promptly and escalate concerns to agents with thoughtful solutions. Prepare, review, and organize contracts and related documents​, ensuring accuracy and completeness. Maintain compliance with brokerage and state requirements. Maintain accurate and up-to-date files​ in the brokerage system. Update internal tracking spreadsheets or CRM with transaction status. Greet visitors and answer incoming calls in a professional manner. Maintain the front desk and common spaces in a neat and orderly fashion. Keep office supplies organized and in stock. ​Assist with opening and closing the office ​as needed. P​rovide general administrative support as needed. ​Assist with event planning, organize meetings, and coordinate logistics for company events. Qualifications Minimum of an Associate's Degree (required). Proven experience in administration and/or real estate is preferred. Ability to manage multiple transactions simultaneously. Strong organizational and time management skills, with​ the ​ability to prioritize tasks effectively. Exceptional attention to detail - high level of attention to the "little things." Professional communication skills (written and verbal). Strong computer skills - must be proficient in quickly learning and utilizing ​technology/web-based​ applications. Proficiency in real estate platforms (Dotloop, MLS, etc.) and Microsoft Office/Google Workspace. Attitude of Service towards all our relationships: "What else can I do to make it easier for you?" Ability to work independently and with a team, and to move quickly in a dynamic environment.

$40,000.00 - $60,000.00 per year
