This is a hands-on role that combines adminstrative support, project coordination, and office operations . You will help manage the owner's day-to-day workload while also helping oversee active development and construction projects, coordinate with vendors and consultants, manage the office, track deadlines, and make sure important items don't fall through the cracks. The right person will become a central point of coordination for the company and will be expected to know what needs to happen, who is responsible for it, when it is due, and whether it has been completed. Key Responsibilities Project & Development Coordination Help manage multiple active real estate development and construction projects Maintain schedules, deadlines, milestones, and task lists Track outstanding items and proactively follow up until they are completed Coordinate with architects, engineers, surveyors, contractors, subcontractors, inspectors, utilities, lenders, title companies, attorneys, real estate agents, and other vendors Assist with permitting, inspections, utilities, applications, and other development processes Track bids, proposals, contracts, change orders, invoices, permits, plans, and project documentation Request and organize W-9s, certificates of insurance, lien releases, warranties, and other vendor documentation Assist with property acquisitions, due diligence, closings, and project setup Help identify potential delays or problems before they impact the project Regularly provide the owner with updates on project status, outstanding decisions, upcoming deadlines, and issues requiring attention Office & Business Operations Help manage the day-to-day operations of the office Office & Business Operations Help manage the day-to-day operations of the office Create and maintain organized filing and document-management systems Maintain company records, contracts, vendor information, project files, and other documentation Coordinate vendor payments and assist with invoice and expense tracking Help maintain project budgets and cost-tracking spreadsheets Order office and project-related supplies as needed Help implement processes and systems that improve company organization and efficiency Coordinate between different projects, companies, vendors, and team members Make sure administrative and operational tasks are completed on time Executive Support Manage the owner's calendar, appointments, meetings, and reminders Assist with email management and prioritize items requiring attention Maintain a master task and follow-up list Schedule meetings, inspections, site visits, closings, and vendor appointments Draft emails, letters, documents, and other business correspondence Conduct research and gather information needed for business decisions Prepare spreadsheets, reports, summaries, and project updates Handle confidential business and financial information Assist with occasional personal administrative matters when necessary Take ownership of miscellaneous projects and assignments as they arise Create and maintain organized filing and document-management systems Maintain company records, contracts, vendor information, project files, and other documentation Coordinate vendor payments and assist with invoice and expense tracking Help maintain project budgets and cost-tracking spreadsheets Order office and project-related supplies as needed Help implement processes and systems that improve company organization and efficiency Coordinate between different projects, companies, vendors, and team members Make sure administrative and operational tasks are completed on time What We're Looking For This position requires someone who is exceptionally organized and comfortable taking ownership.
