At an airport rental location, this position plays a critical role in maintaining traffic flow, verifying rental documentation, documenting vehicle condition, providing customer service, and ensuring vehicles are accurately accounted for within the rental fleet. Essential Duties and Responsibilities Greet customers professionally at the rental exit and vehicle return areas. Verify rental agreements, customer information, assigned vehicle, license plate, unit number, and other required documentation before vehicles leave the facility. Confirm that the vehicle being driven from the lot matches the vehicle assigned on the rental agreement. Inspect departing vehicles as required and document existing damage, fuel level, mileage, and vehicle condition. Control vehicle movement through the exit gate and prevent unauthorized vehicles from leaving the rental facility. Direct returning customers to the appropriate return lanes and maintain orderly traffic flow. Record vehicle mileage, fuel or charge level, return time, vehicle condition, and other required return information. Inspect returned vehicles for new exterior or interior damage and promptly report discrepancies according to company procedures. Identify vehicles requiring additional attention, including damage review, excessive cleaning, mechanical inspection, lost-and-found processing, or towing. Complete rental return transactions or assist customers with the return process, depending on company procedures and operating systems. Explain charges associated with fuel, mileage, late returns, vehicle condition, or other rental agreement provisions when appropriate. Provide customers with receipts, directions to airport terminals, shuttle information, and other assistance. Coordinate with shuttle drivers, lot attendants, service agents, fleet personnel, customer service representatives, and management. Communicate vehicle availability and returned-vehicle status to operations personnel. Ensure returned vehicles are properly staged for cleaning, maintenance, damage inspection, or preparation for the next rental. Identify and secure customer belongings left inside returned vehicles and follow company lost-and-found procedures. Monitor rental lot activity and immediately report accidents, suspicious activity, safety concerns, or unauthorized vehicle movement. Maintain accurate records of vehicles entering and exiting the facility. Follow airport authority rules, company security procedures, traffic-control requirements, and applicable safety regulations. Maintain a clean, organized, and professional exit/return work area. Perform additional operational duties as assigned based on airport location requirements. Qualifications High school diploma or GED preferred. Previous car rental, automotive, hospitality, customer service, transportation, or airport experience preferred. Strong customer-service and communication skills. Ability to accurately verify vehicle and rental information in a fast-paced environment. Basic computer, tablet, handheld scanner, and data-entry skills. Strong attention to detail and ability to recognize vehicle damage. Ability to remain professional when handling customer questions, disputes, or unexpected charges. Ability to work independently while coordinating effectively with multiple operational departments. Valid driver's license and acceptable driving record may be required depending on job responsibilities. Physical and Scheduling Requirements Ability to stand and walk for extended periods. Ability to work outdoors in varying weather conditions, including heat, cold, rain, and wind. Ability to enter and exit vehicles frequently. Ability to work in an active vehicle environment requiring constant awareness of moving traffic. Ability to work flexible schedules, including early mornings, evenings, overnight shifts, weekends, and holidays. Airport rental operations may operate 24 hours a day, 7 days a week , requiring schedule flexibility. Key Performance Expectations The Exit/Return Agent is expected to maintain accurate vehicle accountability, efficient customer processing, strong damage documentation, safe traffic flow, and a high level of customer service while minimizing errors that may result in lost vehicles, incorrect rental charges, unreported damage, or customer complaints.
