Job Description

Rental Coordinator Join Our Team! We are looking for a highly organized, customer-focused Rental Coordinator to join our growing team. In this role, you will be the key point of contact for truck rental operations, helping ensure our customers receive exceptional service while supporting efficient fleet coordination and administrative operations. What You'll Do As a Rental Coordinator, you will play a vital role in supporting rental operations and maximizing fleet performance.
Responsibilities include:
Greet customers at the front counter and assist with rental inquiries by phone and email Provide rental quotes, explain terms and conditions, and process reservations Coordinate truck availability and schedule rentals based on customer needs and fleet capacity Prepare and process rental agreements accurately and efficiently Perform daily yard checks to ensure fleet cleanliness, appearance, and readiness Inspect vehicles before and after rentals and document damage or maintenance needs Maintain organized records of rental transactions, mileage logs, fuel usage, insurance certificates, and IFTA reporting Support billing, invoicing, and customer payment processing Generate weekly invoices and ensure rental agreements are properly closed out Calculate rental charges including mileage, rental duration, and additional services Collaborate with maintenance and fleet teams to ensure vehicles meet safety and operational standards Maintain accurate customer billing profiles and payment terms Resolve customer concerns professionally and escalate issues when needed Monitor rental inventory and assist with fleet utilization reporting Uphold company safety procedures and operational standards at all times What We're Looking For Strong customer service and communication skills Excellent organizational and multitasking abilities Detail-oriented with strong administrative skills Ability to work effectively in a fast-paced environment Proficiency with computer systems and data entry Experience in truck rental, fleet operations, transportation, or customer service is an asset Ability to work independently and collaboratively with multiple departments Why Join Us?
