Key Responsibilities:
Sebastian's General Store Operations & Leadership Own the daily operations and success of Sebastian's General Store. Create and manage weekly staff schedules, ensuring appropriate coverage and labor efficiency. Manage shift changes, callouts, and daily operational needs. Maintain strong guest experience standards and support team performance. Oversee opening and closing procedures and ensure operational readiness each day. Maintain accurate timekeeping and staff records through QuickBooks Time. Merchandise Buying & Inventory Management Own merchandise inventory management across Sebastian's General Store Monitor inventory levels, establish reorder points, and maintain appropriate stock levels. Source, evaluate, and develop relationships with retail vendors and product partners. Place purchase orders and manage vendor communications. Receive, verify, and reconcile merchandise deliveries against purchase orders. Maintain accurate inventory records and improve inventory visibility. Configure and optimize Lightspeed POS inventory settings, including auto-reorder pars and integrations. Identify opportunities to improve ordering efficiency and reduce manual processes. Sebastian's Wine Inventory Management Manage wine ordering and inventory levels specifically for Sebastian's General Store. Maintain appropriate wine par levels based on sales trends and customer demand. Coordinate with winery production and inventory teams to ensure product availability. Partner with leadership on approved wine selections while managing ordering logistics and inventory flow. Supplies & Operational Purchasing Manage operational supply ordering for Sebastian's General Store and support San Simeon Tasting Room supply needs.Maintain inventory levels for:
Packaging materials Retail supplies Cleaning supplies Office supplies Guest-facing operational materials Coordinate deliveries and ensure supplies reach the appropriate location. Identify shortages and proactively resolve supply needs. Retail Experience & Menu Production Design and produce tasting menus and retail materials using Canva while maintaining brand standards. Create menu layouts and updates based on direction from tasting room and wine program leadership. Produce and deliver printed menus for the San Simeon Tasting Room as requested. Maintain organized digital files of current and archived menus. Support consistent visual presentation across retail and hospitality environments. Facilities & Location Support Serve as the primary contact for routine facilities and maintenance needs at Sebastian's General Store and San Simeon Tasting Room. Track maintenance requests and coordinate approved vendors. Ensure locations are clean, organized, stocked, and guest-ready. Escalate larger repair needs or capital projects to ownership. Financial Administration & Reporting- Sebastian's General Store Manage daily financial close processes including: Cash reconciliation Daily sales reporting Deposit preparation Prepare weekly and monthly operational reports Revenue performance Product mix Labor performance Inventory costs Monitor retail performance trends and identify opportunities for improvement.
