OFFICE MANAGER - HUMAN SERVICES DEPARTMENT
Part-Time The Town of Westwood seeks a team-focused and energetic multi-tasker to serve in the 10-hour per week position of Office Manager for the Human Services Department. The ideal candidate will have strong administrative, organizational and interpersonal skills in supporting the office management operations of Human Services, which oversees the Council on Aging, Library, Recreation, Veterans' Services and Youth & Family Services. The position requires a high level of discretion, sound judgment and respect for confidentiality.
Representative duties include the following:
Performs basic to complex administrative tasks for the Human Services Director; prepares documents, reports, spreadsheets and databases; screens phone calls and mail. Produces accurate budget documents; assists in gathering, compiling and reviewing data, and tracking budget changes. Prepares and processes purchase requisitions; coordinates purchase orders for all Human Services departments and prepares invoices for payment. Maintains and submits payroll records for department employees. Tracks monthly time off accruals and usage and prepares reports for department personnel. Maintains payroll, leave, and overtime tracking records for department personnel and prepares related reports. Provides administrative support for Veterans' Day, Memorial Day and other ceremonies for the Town. Interacts with the public, vendors and others regarding need for supplies, logistics for public ceremonies and marketing of events to the public. Coordinates logistics and operational requirements for community events, including volunteers, vendors, contracts, permits, sponsorships, facility setup, and post-event reconciliation. Maintains Wentworth Hall (WH) calendars for multiple Town, School and public users; receives and processes requests for space from same. Serves as the primary point of contact for Wentworth Hall users, responding to questions, resolving scheduling issues, and coordinating with Town and School departments to address facility needs. Participates in quarterly meetings with Town and School users of Wentworth Hall to plan for future space use and problem solve space conflicts. Prepares weekly warrant for invoice payment; tracks invoices and PO's. Maintains cash receipts and submits payments to Town Treasurer. Qualifications and experience : Associate's degree in business administration, accounting, public administration, or related field; bachelor's degree preferred. Three to five years of progressively responsible administrative experience. Experience in multimedia marketing and event planning, or any equivalent combination of education and experience. Excellent customer service, communication and public relations skills. Ability to exercise sound judgment and maintain confidentiality when handling sensitive personnel, financial, and operational information.
