As the Cincinnati counterpart to Chicago Scanning, we combine careful technical work with friendly, professional service. Position Summary The Office Manager is responsible for the smooth day-to-day operation of our Cincinnati location. This hands-on role combines team leadership, customer service, office administration, QuickBooks Online responsibilities, and digital photo and video order processing. The ideal candidate is organized, approachable, technically comfortable, and able to keep people, projects, and customer orders moving accurately and on schedule. Key Responsibilities Lead daily office operations and help establish an organized, professional, and positive workplace. Manage, guide, and support employees; coordinate priorities, schedules, workloads, and follow-through. Provide professional, friendly customer service by phone, email, and in person. Receive customer materials, explain services, answer questions, prepare estimates, and communicate order status. Process orders from the photo department, including intake, documentation, production coordination, quality checks, packaging, and delivery readiness. Use QuickBooks Online for invoicing, payments, customer records, basic reporting, and other routine bookkeeping tasks. Maintain accurate order, customer, vendor, and office records while protecting irreplaceable customer media. Apply practical knowledge of digital photographs, video formats, file handling, storage, and common digitization workflows. Monitor supplies, equipment needs, and vendor relationships; help maintain an efficient and safe workspace. Identify process improvements and take on additional operational responsibility as the business grows. Required Qualifications Previous management or supervisory experience. Professional, friendly, and dependable customer-service skills. Working knowledge of QuickBooks Online. Working knowledge of digital photography and video, including common file types and basic media workflows. Strong organization, attention to detail, judgment, and follow-through. Ability to manage multiple orders and priorities in a deadline-driven environment. Comfort using computers, office software, email, and shared digital files. Preferred Qualification Previous employment at Apple is a plus. Compensation, Benefits & Growth $42,000-$45,000 annual salary, based on experience and qualifications. Bonus compensation in addition to base salary. Benefits package. Full-time schedule of 40 hours per week. Room to grow as Cincy Scanning expands.
