POSITION SUMMARY A
Medical Practice Manager supervises multiple healthcare clinics, enabling the clinics to carry out their daily work and business effectively. The medical practice manager guides, organizes, and monitors all services provided in clinic centers. The manager assures the efficiency and stability of the clinic operations.
PRIMARY ACCOUNTABILITIES
Achieve Results Ensures that the best customer service procedures are followed in all our clinics. Ensures that all government requirements, including certifications, are being met. Ensures that all corporate standards, as defined by Genesis Health Care, are maintained and followed according to policies and procedures set up. Provides support to all clinic managers to ensure that day-to-day operations are running effectively and efficiently. Operational Excellence Ensure and uphold the confidentiality requirements of all patient records, and manage all daily tasks and activities consistent with HIPAA, state and federal laws and regulations, as well as the clinic's policies and regulations regarding confidentiality and security. Assures that all payments issued are appropriate and documented as ordered and received. Relationships 7. Develop and ensure effective, positive relationships within and among the clinic staff, as well as with patients, vendors, contractors, and related resources. Professionalism 8. Ensure all actions, job performance, personal conduct, and communications represent the organization in a highly professional manner at all times. 9. Uphold and ensure compliance with and attention to all corporate policies and procedures, as well as the mission and values of the organization.
PRIMARY TASKS & DUTIES
Manages and coordinates administrative and clinical services for all physician office sites. Establishes work procedures and standards to improve efficiency and effectiveness in an office. Generates and monitors weekly tracking reports for the clinics (operational productivity) Supervises office managers/department managers in all clinical sites to ensure quality patient care. Manages provider leave time and coordinates with clinic managers. Works with managers to create and maintain a clinic manual. Helps with compliance setup and organizes clinic audits. Helps develop and maintain a professional image of the organization to our patients and communities. Maintain an understanding of the organization's internal operations, evaluating how changes must occur within staff to support growth. Ensure quality leadership and management is maintained throughout the organization. Understand all HRSA requirements for clinics, including but not limited to UDS and site visit documentation. Maintain an understanding of all site visits, including DHEC and OSHA, ensuring office managers have the direction and training needed to perform site visits. Oversees and coordinates patient satisfaction surveys with office managers. Performs annual evaluations on clinic managers, lab manager, and other department managers. Performs annual evaluations on providers in all clinics. Ensure clinics maintain operations within their allotted budget. Approval of Invoices Coordinate weekly meetings with all managers, and attend other meetings as deemed necessary. Assist in the interview process of hiring new employees. Responsible for organizing monthly provider meetings and quarterly QI meetings. Makes regular clinic visits to meet with managers. Other management tasks, as assigned. High School diploma or equivalent. Must be able to speak, read, write, and understand English. Bachelor's Degree in Health Care Management, experience can be substituted Professional "Skilled" business office experience. Communication, customer service, or working with the general public, preferably in a medical care facility. A minimum of 5 years' experience in health care management is required. General computer competence, including basic Word and Excel; potential to be trained on specific software for patient information, billing, and communication. Knowledge of medical terminology required. Physical/Environmental Ability to interact with the computer screen for up to six hours at a time (visual acuity required). Must have manual dexterity for use of keyboard. Ability to remain stationary for periods of up to four hours. Ability to communicate via phone, mail, and in person to resolve disputes, solve problems, etc. Capacity to function in a sometimes stressful, multi-tasking environment
