We're looking for an organized, energetic, and relationship-focused professional to join our team as an Administrative & Wholesale Sales Assistant. Position Summary The Administrative & Wholesale Sales Assistant plays a vital role in supporting our sales efforts by helping grow and nurture wholesale relationships, coordinating outreach to prospective clients, maintaining customer communications, and providing administrative support to our tasting room and field sales teams. This position is ideal for someone who enjoys building connections, thrives in a fast-paced environment, and is passionate about delivering exceptional customer service. Key Responsibilities Wholesale Sales Support Conduct outreach to prospective wholesale accounts, including restaurants, retailers, hotels, event venues, and corporate partners. Assist with lead generation, prospect research, and qualification of potential clients. Follow up with current and prospective customers to maintain engagement and support sales initiatives. Help establish and nurture long-term client relationships through proactive communication and outstanding service. Coordinate sample requests, sales materials, and account information for the sales team. CRM & Administrative Management Maintain accurate customer and prospect records within Microsoft Dynamics 365 CRM. Track sales activities, customer interactions, opportunities, and follow-up schedules. Generate reports and assist with data management to support sales performance and planning. Ensure customer information remains current and organized. Calendar & Team Coordination Coordinate calendars, appointments, meetings, tastings, and events for both the tasting room sales team and field sales representatives. Assist with scheduling trade tastings, distributor meetings, market visits, and client appointments. Help manage travel arrangements and itineraries for sales team members as needed. Serve as a communication hub between departments to ensure smooth operations. Customer Experience & Relationship Building Provide exceptional customer service to wholesale partners and prospective accounts. Respond promptly and professionally to inquiries via phone, email, and CRM communications. Represent the Breathless brand with warmth, enthusiasm, and professionalism. Support special events, wine club activities, and promotional initiatives as needed. Project & Initiative Coordination (a.k.a. The Keeper of Momentum) Attend sales, leadership, and team meetings with notebook (or laptop) in hand, capturing key decisions, action items, brilliant ideas, and the occasional lightbulb moment. Transform meeting discussions into clear, actionable summaries that keep everyone aligned and moving forward. Track progress on sales initiatives, marketing campaigns, events, and special projects—making sure great ideas don't get lost in the bubbles. Follow up with team members on commitments, deadlines, and next steps, helping keep projects on track and goals within reach. Qualifications 2+ years of administrative, sales support, customer service, or hospitality experience preferred. Experience with Microsoft Dynamics 365 CRM or similar CRM platform. Strong organizational and time-management skills with exceptional attention to detail. Excellent verbal and written communication abilities. Ability to manage multiple priorities while maintaining a positive attitude. Proficiency with Microsoft Office Suite, including Outlook, Excel, and Teams. Wine industry, hospitality, or beverage sales experience is a plus. Self-motivated, collaborative, and relationship-oriented.
