This role requires a high degree of discretion, strong analytical abilities, exceptional communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will possess strong business acumen, advanced computer skills, and the ability to handle confidential information with professionalism and integrity. This position plays a key role in supporting executive decision-making through data analysis, reporting, project coordination, and administrative management. Essential Responsibilities Executive Support & Business Operations Compile, maintain, and analyze sales performance, revenue projections, and business trend data. Monitor and maintain sales order backlogs to support monthly, quarterly, and annual sales objectives. Prepare and analyze inventory and manufacturing performance reports for executive review. Develop executive presentations, reports, and meeting materials using business data and performance metrics. Review departmental expenditures and prepare supporting reports for executive analysis and decision-making. Manage relationships and coordinate services with external vendors, including facility maintenance, office management, and security providers. Gather and prepare data for regulatory reporting requirements, including safety and hazardous materials reporting. Extract and analyze sales opportunities, market trends, and performance data from ERP and CRM systems. Coordinate, prepare, and maintain Non-Disclosure Agreements (NDAs) with customers, vendors, and business partners. Assist with annual business planning, budgeting, capital investment reviews, and strategic initiatives. Support executive leadership with special projects and assignments as needed. Sales Administration Support Prepare and distribute monthly sales, bookings, and shipment reports. Review and edit sales representative commission reports. Maintain and update regional pricing guides and price books. Generate quarterly sales reports by industry segment. Compile annual sales budgets submitted by Regional Sales Managers (RSMs). Manage and maintain annual contracts for sales representatives and Regional Sales Managers. Coordinate and organize company sales meetings and leadership events. Arrange international travel documentation, visa requirements, and visitor correspondence. Serve as the primary contact for hotel contract negotiations and travel accommodations. Provide additional sales and administrative support as assigned. Qualifications Education & Experience Bachelor's degree in Business Administration or a related field preferred, but not required. Previous experience supporting executives, senior leadership, or business operations required. Experience in manufacturing environments and ERP systems such as Oracle/JDE is a plus. Notary certification is a plus. Experience conducting market, industry, and competitive research. Technical Skills Advanced proficiency in Microsoft Office Suite, including: Excel Word PowerPoint Outlook Project Access Familiarity with graphic and diagramming software such as: Adobe Illustrator CorelDRAW Microsoft Visio Experience working with CRM and ERP systems preferred. Language Requirements Strong English communication skills, including the ability to read, analyze, and interpret business documents, reports, regulations, and technical information. Ability to write reports, business correspondence, and procedural documentation. Ability to effectively communicate with executives, customers, vendors, and cross-functional teams. Japanese language skills are highly desirable.
