$20.00 - $24.00 /hourTypical Schedule:
Typical workday is from 8:30am to 5pm, five days per week Monday-Friday, some weekends required dependent on business levels Primary Purpose of Position The Sales & Events Coordinator offers support to the Group Sales & Events team with duties that are integral to the success of our hotel and the sales team. The Sales & Events Coordinator will assist in driving revenue to the hotel through distribution of leads, assisting with site tours, and handling the social room bookings at the hotel. The Sales & Events Coordinator will act as the main point of contact for all rooming needs once a group has turned definite. Group Sales & Events- Handle and distribute all incoming leads via phone, email and website to appropriate sales/event managers
- Communicate and interact with all hotel departments and group clients in order to ensure a consistently high level of service
- Conduct site tours as needed for Sales Managers
- Assist with trouble shooting and contacting Delphi support when issues arise with group booking links
- Create promotion flyers and gift certificates
- Create and print menus, banquet labels and signage for events
- Upload resumes and BEOs to the intranet
- Attend weekly sales, resume and BEO meetings
- Attend daily DQU meeting at 8:30am
- Input guest issues and feedback in HotSOS
- Assist with setup and décor for events/weddings
- Responsible for organization and ordering of office supplies, promotional items and copier room Group Rooms Contact
- Act as main contact for all groups concerning rooming needs: build groups in HMS, setup auto transfer rules, collect deposits, assist in final group billing, obtain rooming lists, monitor cut off dates, assist to create resumes and handle all cancellation and attrition charges as confirmed by the sales/event manager
- Service rooms only groups as needed and determined by Director of Sales
- Effectively monitor and manage all group room blocks for additional rooms and room types outside of the group block and managing pre/post event stay rates
- Update master group list for reservations
- Participate in weekly sales meetings and operations meetings in order to effectively communicate the upcoming group's needs and expectations Reporting
- Run pickup report and lead weekly group pickup meetings with Sales team
- Run weekly GRC report for sales meeting
- Prepare and distribute 14 day agenda and BEO packet weekly
- Handle inputting of AP expenses and invoices from the team
- Administrator for Delphi including user, contract updates and lead entry into Delphi
- Additional duties as assigned Education/Experience
- Bachelor's Degree in Hotel or Business Management, or equivalent hospitality experience preferred
- Previous hotel sales experience preferred Special Skills/Equipment
- Ability to work in a fast-paced position with expectations of meeting deadlines
- High efficiency with multi tasking
- Must have excellent customer service skills
- High level of Computer proficiency including Microsoft Office and Outlook
- HMS experience preferred
- Delphi FDC experience preferred
- Dreamweaver experience preferred Essential Physical Requirements
- Willingness and ability to work a flexible schedule dependent on business demand
- Ability to sit for the majority of shift
- Ability to read, write and understand instructions
- Ability to walk between departments
- Ability to carry up to 40 lbs
