External Job Title Administrative Assistant II - Hotel Sales -

The Sales Administrative Assistant plays an essential role in supporting the success of the Sales & Marketing and Catering teams by coordinating key administrative functions and ensuring smooth daily operations across the Hospitality Division. Your ability to manage schedules, organize documents, prepare reports, and communicate effectively allows our sales and catering leaders to focus on driving revenue, cultivating client relationships, and delivering exceptional guest experiences. Through strong attention to detail, professionalism, and proactive support, you help maintain efficient workflows and uphold the elevated service standards that define the Live! brand. Impact:
Assists with analyzing of processes and procedures. Performs all administrative and clerical duties as required and instructed. Inclusive of answering multiple phones lines, properly routing calls and accurate message taking, ordering supplies and maintaining appropriate par levels of sales collateral. Studies methods of improving work measurements on performance standards. Coordinates collection and preparation of operating reports, such as banquet event orders, group resumes, time and attendance records and statistical records of performance data. Prepares departmental reports review and answer correspondence. May direct services such as maintenance repair, supplies, mail and files. May compile, store and retrieve management data, using a computer. Set up and maintain an effective filing system, maintain accurate and complete filing on all accounts and bookings, including a daily trace file, to ensure all weekly, monthly and bi-annual deadlines are met. Manage and distribute incoming leads to appropriate sales personnel. Skills to

Ability to analyze and interpret departmental needs and results. Ability to solve complex problems. Ability to perform assigned duties under frequent time pressures in an interruptive environment. Ability to maintain mental concentration for significant periods of time. Broad variety of tasks and deadlines requires an irregular work schedule. Willingness and ability to be flexible with work schedule. May require extended hours and work week from time to time.
Qualifications Must-Haves:
2 year Associates degree in Office Administration or a High School Diploma with equivalent experience. Hotel Experience in a
Sales Office Preferred Physical Requirements:
Lifting up to 10lbs. Pushing/Pulling up to 25lbs. Carrying up to 25lbs. Some Bending / kneeling. Frequent Walking. Frequent Standing. Some Sitting. Climbing steps.
