Job Description

Position Summary:
The Sales Assistant provides administrative and sales support to the Sales Team. This position assists with client communications, proposal preparation, contract administration, event coordination, and maintaining accurate records in the sales and catering systems. The Sales Assistant plays a key role in delivering excellent customer service while helping the sales team achieve revenue goals.
Essential Duties and Responsibilities:
Provide administrative support to the Sales Team. Prepare proposals, contracts, banquet event orders, and group agreements. Maintain accurate client and account information in the Delphi and Stay N touch. Respond to telephone calls and emails in a timely and professional manner. Assist with site inspections and client tours of the property if needed. Generate sales reports, pace reports, and other departmental reports as requested. Manage incoming leads and distribute them to appropriate sales managers if requested by DOS Follow up with clients regarding proposals, contracts, deposits, and event details if need to assist the DOS/Sales Managers Assist with organizing and preparing materials for sales presentations and trade shows. Coordinate internal communications between sales, front office, housekeeping, and food & beverage departments. Maintain filing systems and electronic records. Process deposits, invoices, and other documentation as needed. Perform other duties as assigned by management.
Qualifications:
High school diploma required; associate's or bachelor's degree preferred. Previous hotel, hospitality, catering, or administrative experience preferred. Strong organizational and time-management skills. Excellent verbal and written communication skills. Proficiency in Word, Excel, Outlook, PowerPoint. Experience with hotel sales systems such as Delphi, or similar software preferred. Ability to manage multiple projects and deadlines simultaneously. Professional appearance and customer-focused attitude.
Physical Requirements:
Ability to sit, stand, and walk for extended periods. Ability to lift up to 25 pounds occasionally. Ability to use standard office equipment, including computers, printers, and telephones.
