This role offers an exciting opportunity to be the backbone of our medical sales team, ensuring smooth daily operations and effective communication. The ideal candidate will be energetic, detail-oriented, and possess a proactive attitude to manage a variety of administrative tasks that keep the sales department running efficiently. This paid position is perfect for someone eager to develop their office management skills while contributing to a fast-paced, growth-oriented environment. Medical experience in GLP1's, Peptides, Hormones, and longevity practices would be helpful. Responsibilities Manage the sales manager's calendar, schedule appointments, and coordinate meetings with clients and internal teams. Handle incoming calls using multi-line phone systems with professionalism and excellent phone etiquette. Maintain organized filing systems, both physical and digital, including client records and sales documentation. Support bookkeeping and invoicing processes using QuickBooks or similar accounting software. Assist with data entry, customer support, and follow-up communications to ensure client satisfaction. Prepare correspondence, proofread documents for accuracy, and ensure all materials are error-free before distribution. Oversee front desk duties, greet visitors professionally, and direct inquiries efficiently. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for seamless document creation and collaboration. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent typing speed and data entry skills to handle multiple projects accurately. Bilingual abilities are a plus for communicating with diverse clients and team members. Experience with office management systems and familiarity with multi-line phone systems enhances efficiency. Medical Assistant, NP, or RN license would be very advantageous. Time management skills to balance multiple responsibilities while meeting deadlines confidently. Previous personal assistant or administrative experience supporting sales or executive teams is advantageous.
