Job Description

The Sales Coordinator provides administrative and operational support to the sales team by coordinating customer orders, managing account information, and facilitating communication between customers, sales representatives, production, and shipping departments. This position plays a critical role in ensuring customer requirements are met, orders are processed accurately, and sales activities are executed efficiently to support company growth and customer satisfaction. Sales Support Support the sales team with day-to-day administrative and operational activities. Prepare quotations, sales reports, customer correspondence, and other sales-related documentation. Assist sales representatives with customer inquiries, pricing requests, and product information. Coordinate customer projects and special requests from initial inquiry through final delivery. Order Management Enter and process customer sales orders accurately and efficiently. Review orders for accuracy, pricing, product specifications, and delivery requirements. Create and maintain work orders and coordinate with production scheduling as needed. Monitor order progress and ensure timely completion and shipment. Customer Communication Serve as a point of contact for customers regarding order status, delivery schedules, and product availability. Provide timely updates on production schedules, shipment status, and anticipated delivery dates. Build and maintain strong customer relationships through professional and responsive communication. Assist in resolving customer concerns and coordinate solutions with internal departments. Account & Portal Management Maintain accurate customer records and account information within the ERP and CRM systems. Update customer portals with current order status, shipment information, inventory levels, and required documentation. Ensure customer-specific requirements and compliance standards are met. Shipping & Logistics Coordination Coordinate daily shipping activities with warehouse and logistics personnel. Prepare shipping documentation and communicate shipment details to customers. Track shipments and address delivery issues when necessary. Work closely with operations to ensure customer delivery expectations are achieved. Reporting & Administration Generate and distribute sales reports, order status reports, and customer activity reports. Maintain organized records of customer communications, orders, and related documentation. Assist with sales forecasting, inventory reviews, and customer demand planning. Support continuous improvement efforts related to customer service and order processing. High school diploma or equivalent required; associate or bachelor's degree preferred. 2+ years of experience in sales support, customer service, account coordination, or a related role. Experience working in a manufacturing, distribution, or industrial environment preferred. Proficiency with ERP, CRM, and Microsoft Office applications. Strong organizational and multitasking skills. Excellent verbal and written communication abilities. Strong attention to detail and accuracy. Ability to work effectively in a fast-paced, team-oriented environment.
