Full Job Description Position Overview:
The Sales Operations Coordinator is responsible for supporting the sales organization through accurate order execution, account coordination, and cross-functional operational support. This role ensures smooth day-to-day sales operations, timely fulfillment, and effective communication between sales, customers, and internal teams. The position plays a key role in maintaining data accuracy, supporting key accounts, and assisting with reporting, meetings, and sample coordination. The ideal candidate is detail-oriented, highly organized, and able to thrive in a fast-paced consumer-goods environment.
Key Responsibilities:
Sales Operations & Order Management:
Process and enter sales orders accurately and in a timely manner. Monitor inventory levels and product availability. Communicate with customers and sales representatives to verify order details. Partner with Operations, Production, and Logistics teams to ensure on-time delivery. Track shipments and provide order status updates.
Account & Project Support:
Support Account Managers with ongoing customer needs and new initiatives. Develop an understanding of customer compliance standards and routing guides. Create and maintain item setups with accurate product information for customer portals. Assist with project timelines and cross-functional coordination.
Meetings, Tradeshows & Samples:
Prepare sales reports and supporting documentation for meetings. Coordinate, organize, and ship product samples for buyer meetings and tradeshows. Support pre-launch sample shipments to key customers. Assist with meeting preparation and follow-up action items.
Administrative & Additional Support:
Maintain customer records, contracts, vendor forms, and account documentation. Provide light phone and administrative support as needed. Build strong knowledge of Whimsocal product categories and brands. Support additional sales operations projects as assigned by management.
Skills and Qualifications:
Bachelor's degree preferred or equivalent work experience. Experience in sales support, customer service, order processing, or account coordination preferred. Strong organizational and time-management skills. High attention to detail and accuracy. Excellent written and verbal communication skills. Ability to work in a fast-paced, deadline-driven environment. Proficiency in Microsoft Office applications, including Excel and Outlook. Experience in a product-based or CPG environment is a plus.
