Sales Operations Representative Rate:
22.00 - 23.00 per hour Shift M-F 8:30am to 5:30 pm (Not a remote position) Shift hours are not flexible. Overtime is offered when necessitated.
Position Summary:
Sales Operations Representative is responsible for providing high-quality support to customers through phone, email, and other communication channels. This role ensures accurate order processing, timely follow-up, and effective coordination with internal departments to support order fulfillment, product returns, and general business operations. Strong communication, organization, and time-management skills are essential for success in this position. Key Responsibilities Customer Communication & Support Communicate with customers regarding order receipt, tracking information, order contents, order status, and billing-related inquiries. Respond to inbound phone calls and emails promptly, clearly, and accurately to ensure customer satisfaction. Provide friendly, professional support across all customer interactions. Maintain an upbeat, customer-focused tone and build rapport quickly. Handle high call volumes while staying organized and attentive. Demonstrate strong active listening and problem-solving skills when assisting customers and internal teams. Order Processing & Logistics Assist customers and management with order placement, order preparation, and logistics coordination. Track and monitor customer orders, back orders, and fulfillment status. Follow up with customers regarding surgery dates and coordinate the return of loaner products after procedures. Work closely with warehouse personnel regarding shipment reception, warehouse organization, and inbound delivery communication. Returns & RMA Management Issue Return Merchandise Authorizations (RMAs) and provide customers with shipping instructions. Follow up on outstanding product returns and reconcile returned items against expected deliveries. Maintain accurate documentation related to RMAs and product returns. Administrative & Operational Support Answer incoming phone lines and route calls to appropriate personnel. Respond to customer inquiries regarding order status, invoicing, and general account questions. Establish and maintain organized filing and record-keeping systems. Scan, log, file, and organize company and departmental documents. Prepare and format documents such as letters, presentations, and reports as requested by management. Provide general administrative support to assist daily business operations. Complete tasks accurately, follow directions, and respond to urgent requests in a timely manner. Perform additional duties as assigned by management. Required Skills & Qualifications Strong verbal and written communication skills. Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. High level of accuracy and attention to detail. Strong organizational and time-management abilities. Ability to collaborate effectively with team members and internal departments. Proficiency in handling customer inquiries with professionalism and clarity. Flexibility to adapt to shifting priorities and management direction. Work Environment & Expectations This role involves frequent interaction with customers, warehouse staff, and internal departments. The position requires consistent follow-up, strong documentation practices, and the ability to manage time-sensitive tasks. Professional communication and a customer-focused approach are essential. 2-4 years of experience in customer service, order coordination, or administrative support, or an equivalent combination of training and experience
