In this role, you will be the operational backbone of our day-to-day order flow, ensuring accuracy and efficiency at every stage. The ideal candidate thrives in a fast-paced, multi-channel environment and excels at managing competing priorities—from initial purchase order processing to final shipment coordination. Responsibilities Oversee the complete end-to-end order process, ensuring seamless execution from receiving the customer's purchase order through fulfillment, delivery, and final invoicing. Utilize QuickBooks (ERP) to process orders, maintain precise customer accounts, track inventory, and ensure complete data accuracy regarding pricing, quantities, delivery dates, and billing. Monitor inventory levels and coordinate with suppliers, purchasing, and warehouse teams to maintain required stock levels and support timely order fulfillment. Provide daily operational support to the field sales team, including customer service, order and inquiry management, sample coordination, order tracking, and other sales support activities. Manage sourcing and purchasing activities for new and existing projects, including supplier communications, obtaining quotations, confirming specifications, pricing, lead times, and product availability. Work closely with warehouse operation team to ensure orders are picked, packed, and shipped accurately and on time. Coordinate with the logistics team and external 3PL on shipment scheduling and tracking. Proactively communicate any delays, discrepancies, or issues to relevant internal teams and customers. Manage returns and resolve invoice disputes by coordinating among sales, accounting, and customers. Qualification 1-3+ years of experience in sales operations or working in a similar role Proficiency with QuickBooks or similar ERP software. Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Teams Proven ability to multitask and manage a high volume of orders and communications simultaneously. Self-starter who can work both independently and collaboratively with sales, warehouse, logistics teams, and vendors. Exceptional organizational skills and attention to detail. Excellent verbal and written communication skills. Strong problem-solving abilities and customer service mindset. Bilingual in Mandarin Chinese and English is a strong plus. Benefits Paid time off
