Job Description

Position Summary Callaway Vineyard & Winery is seeking an experienced and motivated Senior Sales Coordinator to lead and grow wedding and event sales at our premier Temecula Valley winery. This position is focused on driving revenue through proactive lead generation, relationship building, and exceptional client service from initial inquiry through post-event follow-up. The Senior Sales Coordinator plays a vital role in representing the Callaway brand with professionalism, attention to detail, and a genuine passion for creating memorable experiences. This individual will act as the key point of contact for wedding and private event clients while collaborating closely with the Events, Culinary, and Tasting Room teams to ensure a seamless guest experience. Key Responsibilities
  • Lead sales efforts for all weddings and private events, focusing on achieving and exceeding monthly and annual revenue goals.
  • Respond promptly to all event inquiries via phone, email, and venue platforms (e.g., The Knot, WeddingWire, Tripleseat).
  • Conduct venue tours and client consultations with professionalism and strong product knowledge.
  • Prepare and present customized event proposals, contracts, and invoices in alignment with company policies.
  • Maintain accurate and organized records including contracts, deposits, BEOs, and event details.
  • Build and nurture relationships with planners, vendors, and returning clients to drive repeat and referral business.
  • Collaborate with internal departments—Culinary, Operations, Tasting Room, and Facilities—to ensure smooth event execution.
  • Monitor event calendar and communicate regularly with management on booking status, forecasting, and pipeline activity.
  • Support onsite coordination and client communication on high-profile or VIP events as needed.
  • Participate in marketing initiatives, bridal shows, and offsite promotional events to increase brand visibility.
  • Provide mentorship and guidance to junior coordinators on best practices in client relations, organization, and sales strategy. Qualifications
  • 3+ years of experience in wedding and event sales within a winery, resort, or upscale hospitality environment.
  • Proven record of achieving or exceeding sales goals.
  • Strong communication, negotiation, and client relationship skills.
  • Proficiency in Microsoft Office and event management software such as Tripleseat, Caterease, or AllSeated.
  • Highly organized with the ability to manage multiple clients, timelines, and deliverables simultaneously.
  • Flexible schedule with availability for evenings, weekends, and holidays. Physical Requirements
  • Ability to stand and walk for extended periods.
  • Must be able to lift up to 30 lbs and assist with event setup when needed.
