Epic Events by Booth, Inc. is a premier event planning and décor rental company specializing in weddings, corporate events, private parties, and social celebrations across the Tampa Bay area. Our mission is to create extraordinary, high-end event experiences through innovative planning, stunning design, and seamless execution. We are expanding our team and looking for a Part-Time Wedding/Event Coordinator with strong sales skills, event design expertise, and business development experience to increase bookings, cultivate relationships with existing venue partners, and actively generate new business opportunities .

NOTE:
This is an in-house position ; we are NOT considering individuals who own their own event planning or design business or work for an agency. Position Overview The Wedding/Event Coordinator will be responsible for sales consultations, business development, event design, vendor coordination, and on-site event execution . The ideal candidate has a passion for selling event services, designing visually appealing events, and creating new revenue opportunities for the company. Unlike traditional coordinator roles that rely solely on incoming leads, this position requires actively seeking out and securing new business through networking, outreach, strategic partnerships, and working with our existing venue partners to generate referrals and repeat bookings . This role requires a blend of sales-driven initiative, event styling expertise, and operational coordination to deliver exceptional results. Key ResponsibilitiesSales & Business Development Proactively identify and develop new business opportunities through networking, community outreach, industry events, and strategic partnerships. Leverage relationships with venues we currently work with to secure referrals and exclusive event bookings. Generate event leads beyond those that come through the website , utilizing personal connections, referrals, and direct outreach. Conduct sales consultations with potential clients to understand their event vision, needs, and budget. Upsell décor rentals, floral arrangements, photo booths, and additional event services . Follow up with leads, provide pricing details, and convert inquiries into booked events. Maintain strong client and venue relationships to ensure ongoing referrals and repeat business. Event Design & Planning Develop and present event styling concepts, including color palettes, décor layouts, and theme execution . Work closely with clients to curate mood boards, tablescapes, and décor selections . Ensure design plans align with venue logistics and budget constraints while maintaining a high-end aesthetic. Collaborate with the Epic Events by Booth, Inc. team to execute visually stunning and cohesive event designs. Event Coordination & Execution Create and manage detailed event timelines, layouts, and vendor schedules . Work closely with vendors, including venues, florists, rental providers, caterers, and entertainment professionals. Oversee event setup, execution, and breakdown , ensuring all elements align with the client's vision. Serve as the primary point of contact for vendors and clients on event days, managing any unexpected challenges. Marketing & Industry Outreach Maintain accurate client records, proposals, contracts, and event planning notes . Assist in creating social media content to showcase event setups, client testimonials, and behind-the-scenes footage . Attend bridal shows, networking events, and industry conferences to represent Epic Events by Booth, Inc. and attract new business. Qualifications Sales, Event Design, and Business Development Experience Required Minimum 2+ years of experience in event planning, event sales, or event design . Strong background in sales and business development, with a proven track record of generating new event leads and securing bookings . Experience in event styling, décor design, color theory, and visual presentation . Knowledge of floral arrangements, draping, table settings, and venue styling is preferred. Existing industry relationships and knowledge of Tampa Bay, St. Pete, and Clearwater venues is a plus. Skills & Competencies Strong negotiation and closing skills for booking event services. Highly organized and detail-oriented , able to manage multiple events at once. Exceptional verbal and written communication skills for client and vendor interactions. Ability to problem-solve and make quick decisions during live events. Proficiency in event management software, Canva, and Microsoft Office. Additional Requirements Must be available on weekends and evenings based on event schedules. Reliable transportation to travel to venues, vendor meetings, and client consultations.
